Billing Administrator and Executive Assistant

This is a Full Time Job

The Billing Administrator/Executive Assistant's (BAEA) main role is to be the hub of all campaign and financial information on all campaigns in the Studios office. They must be extremely organized, great with numbers, and adept at executive communication. This is an in-person role that also supports C-Suite executives with minor administrative tasks.

What you'll do

Account Receivable and Accounts Payable processing and maintenance
Create and process all work orders
Create and track invoices in Vendor Portals
Receive and process freelancer invoices
Support creative executives on budgets, SOWs, and billing
Support producers reconciling job costs
Analyze profitability per Campaign and Client
Recording financial transactions
Reconcile credit card transactions as a function of campaigns.
Produce Financial Reports
Communicate accurate financials to executive leadership
Assist Executive Leadership with administrative tasks including but not limited to:
-Scheduling
-Purchasing office supplies
-Coordination of facility needs
-Reception and phones
Performs other related duties as assigned by management.

Qualifications

Bachelor's Degree (BA) or Associate's Degree from a college or university in Business, Accounting, or Finance, or one to two years of related experience and/or training, or equivalent combination of education and experience.
Required Advanced proficiency in Quickbooks Online
Required Intermediate to advanced proficiency working with FileMaker Flagship
Required Intermediate proficiency in Microsoft Office (especially Excel)
Preferred experience in Entertainment Marketing or Entertainment Production
