Fourth Wall Management is seeking a highly organized, proactive, and passionate in-person Coordinator/Executive Assistant to support the President of Fourth Wall Management while helping service an established roster of clients. This is a high-volume desk that combines executive support, client representation, creative development, and department operations.
This position is ideal for someone with entertainment industry experience who is looking to build a long-term career in literary management. The right candidate will be eager to learn the business of representation, take ownership of projects, build meaningful relationships with clients and executives, and grow into a Junior Manager role based on performance and business needs.
1+ year of experience as an assistant at a talent agency, management company, studio, production company, or related entertainment company is required.
Responsibilities
Executive & Administrative Support
• Serve as a professional, external-facing representative of Fourth Wall Management
• Manage a high-volume executive calendar, including scheduling and meeting coordination
• Roll calls and maintain an accurate phonesheet
• Coordinate travel, ticketing, gifts, and other administrative needs
• Manage incoming and outgoing mail and packages
• Anticipate needs, prioritize effectively, and help keep the desk running efficiently
Client Management & Project Support
• Coordinate client meetings and scheduling
• Field and coordinate incoming client, project, and business inquiries
• Conduct rights checks and assist with tracking relevant project and deal information
• Prepare submission letters and related materials
• Track submissions, project activity, meetings, and follow-up across multiple clients and projects
Business Operations
• Prepare invoices and booking slips
• Coordinate client start paperwork
• Track payments and follow up on outstanding items as needed
• Help mentor interns and support efficient department workflows
Qualifications
• Previous experience supporting an executive or high-volume desk is a plus
• Strong desire to build a career in talent management and representation
• Excellent organizational skills with the ability to prioritize multiple projects and shifting deadlines
• Outstanding written and verbal communication skills
• Strong attention to detail and the ability to maintain confidentiality
• A proactive, solutions-oriented mindset with the willingness to go above and beyond to support clients
• Comfortable interacting professionally with executives, clients, buyers, and creative talent
