We are currently looking for an enthusiastic, detail oriented, team-player, and results-driven individual for the full-time position of Coordinator, Tracking and Mechanical Licensing, based in Los Angeles. This individual will be responsible for completing mechanical licenses and tracking of revenues from such licenses. This is a fun and challenging position in a fast-pace environment.
Detailed Job Description/ Responsibilities:
• Approves U.S. mechanical license requests for major labels, independents, and individuals either online via the Harry Fox Agency website, via direct licenses, or by e-mail approval. Researches claims to our songs; provides information necessary to the licensing process to the Harry Fox Agency, to international affiliates, other WCM departments and all relevant rights and licensing agencies and societies in the U.S.
• Effectively escalates issues of high complexity to management to obtain proper course of action, judgment and/or decision.
• Reviews controlled composition clauses from an artist’s recording agreements to confirm accuracy of license requests.
• Reviews and evaluates reduced rate requests with management.
• Reviews specific high-profile releases to determine license and payment status, working from and updating Excel spreadsheets and related system programs to ensure that mechanical licenses are executed as a first step in the process of tracking and collecting royalties.
• Create reports and assist in the resolution of missing revenue from foreign affiliates.
• Reviews specific high-profile compositions to determine registration, split and payment status.
• Researches and confirms publisher splits and verifies extent of ownership where more than one writer is involved on a song. Coordinates with the Copyright department to confirm claims to songs so that disputes and/or discrepancies in claims can be resolved for licensing. Resolves missing information (with other departments, as necessary) to ensure proper collection of revenue.
• Conducts research of data from various sources to determine if there have been improper payments in Mechanical and New Media revenue.
• Prepare, update and distribute weekly Billboard charts.
• Welcomes visitors, screens and directs phone calls/inquiries, processes expenses, schedules and coordinates domestic and international meetings, maintains all calendar items, coordinates domestic and international travel, processes incoming mail and correspondence, prepares outgoing mail, and ensures the office is always fully equipped and functions smoothly.
• Handles and safeguards confidential and proprietary information.

Special Requirements/Preferences:
• One (1) year of responsible administrative experience, preferably to have been obtained within a music publishing or related company
