Verve
Los Angeles (Hollywood), CAThis is a Full Time Job
Verve is seeking a detail-oriented, mid-senior level Assistant to support two Agents on the independent film finance and sales team. This role is ideal for someone with a genuine passion for independent film who thrives on precision, organization, and staying ahead of a fast-moving marketplace.
What You'll Do
• Provide dedicated day-to-day support to two Agents, managing calendars, scheduling, and rolling calls with discretion and professionalism.
• Draft, track, and maintain deal memos, contracts, and other agreements, ensuring accuracy and timely follow-through across all stages of execution.
• Own and maintain project grids and tracking systems covering deal status, submissions, client activity, and marketplace data-keeping information current, organized, and easy to act on.
• Manage script and project submissions, including logging coverage, tracking responses, and following up with buyers, producers, and other stakeholders.
• Support film festival planning and coordination, including booking travel, building schedules, managing ticketing and credentials, and handling on-the-ground logistics.
• Coordinate buyer screenings start to finish-sending invites, tracking RSVPs, and managing day-of details.
Liaise with filmmaking teams to ensure key art, trailers, full feature links, and stills are collected and uploaded to internal systems.
Track marketplace activity-festival sales, projects available for sale, specs, books, and IP-and flag relevant information to the team.
• Attend internal and external meetings as needed to take notes, update grids, and circulate recaps.
• Compile noteworthy industry news and support broader team reporting on goals, accomplishments, and client performance.
• Prepare expense reports and handle general administrative duties as needed.
What We're Looking For
• Minimum 1+ years of full-time assistant experience at an agency, management company, or production/finance entity, ideally supporting more than one executive.
• Strong interest in and working knowledge of the independent film space-festivals, buyers, distributors, and current market trends.
• A producorial mindset: someone who thinks beyond task completion to the bigger picture of how a project moves from script to screen.
• Exceptional attention to detail, particularly with contracts, grids, and other tracking documents where accuracy matters.
• Comfort managing complex calendars, travel logistics, and competing priorities in a fast-paced environment.
• Excellent written and verbal communication skills, with a professional presence suited to frequent high-profile client interaction.
• Sound judgment and the ability to make efficient, practical decisions independently.
• Absolute discretion in handling confidential information at all times.
• Proficiency in Microsoft Office applications, Canva and Adobe Suite a plus.
