The Opportunity
Versant is seeking an experienced Executive Assistant to provide high-level administrative support to three senior leaders within Versant Operations & Technology. This is a hybrid role based in Englewood Cliffs, New Jersey, supporting a fast-paced media, production, and operations environment.
This role is ideal for a highly organized, detail-oriented professional who can manage complex calendars, travel logistics, expense reporting, departmental coordination, and confidential business information with professionalism and discretion.
Why This Role Matters: The Executive Assistant helps senior leaders operate effectively by anticipating needs, keeping priorities organized, and ensuring smooth coordination across Production, Studio Operations, Remote Production, Graphics, Engineering, Finance, and other business functions. The role directly supports leadership effectiveness, team communication, and operational follow-through.
What You'll Do
• Manage complex calendars, meetings, daily schedules, executive phone lines, and correspondence for three senior leaders.
• Coordinate domestic and international travel arrangements, process travel and expense reports, and support invoice reconciliation and administrative budget tracking.
• Plan and coordinate logistics for meetings, events, team activities, office moves, workspace needs, supplies, and department resources.
• Attend staff meetings, capture clear notes, identify priorities and action items, and distribute follow-up tasks to support accountability.
• Partner with administrative professionals and cross-functional teams across Production, Studio Operations, Remote Production, Graphics, Engineering, Finance, and other business areas.
• Support special projects and operational initiatives while maintaining strict confidentiality and sound judgment with sensitive information.
Qualifications
What You Bring
• 3 years of experience supporting senior executives in a fast-paced environment.
• Strong expertise in complex calendar management, scheduling, travel coordination, expense reporting, invoice processing, and administrative workflows.
• Excellent note-taking, prioritization, and follow-up skills, with the ability to identify action items and keep work moving.
• Outstanding organization, attention to detail, professional presence, and written and verbal communication skills in both in-person and virtual settings.
• Proficiency with Microsoft Office, SAP, Workday and enterprise collaboration tools like Slack.
• Demonstrated ability to manage multiple priorities, adapt quickly to changing business needs, and operate with discretion.
