This is a Full Time Job
Variety is seeking an organized, collaborative, and motivated Associate, Talent and Events to join its events and programming team. This team member will assist the team with initiatives including programming, coordination for events and managing guest lists.
Primary Responsibilities:
- Support the talent team with logistics and coordination for events including booking talent, organizing logistics, collecting materials, serving as point of contact for talent teams prior to events and onsite, greeting and escorting speakers on-site.
- Track the talent budget for each event and process invoices after
- Work closely with other departments such as marketing, design, sales, photography, video and editorial as event details are confirmed
- Assist with festival studios, including booking talent and assisting with managing programming and audience curation at events
- Assist with booking speakers for summits including Ent Mar, CES, Ent & Tech, TV Fest and Sports & Entertainment (10-15 sessions per summit). Responsibilities include booking speakers, managing speaker assets, managing talent budget and serving as an onsite contact for speaks day of.
- Schedule and lead prep calls for speakers prior to summits and take notes
- Manage guest lists for domestic and internal Variety franchise and sponsored events including research and creation of lists, communication with attendees, management of contact database, creation of face sheets, assignment of seats and on-site troubleshooting during check-in.
Desired Skills and Qualifications
- Minimum 1 year experience working at an agency, media or entertainment company
- Detail oriented, focused on deadlines and strong organizational skills
- Strong communication skills
- Skilled in Microsoft Office and Power Point
- Passionate about the entertainment industry, adaptable, eager to learn and shows initiative
- Thrives in a deadline-oriented environment across multiple projects at once
- Ability to work as part of a team and independently when needed
- Flexibility with work hours that may involve time outside the 9-to-6 weekday hours; including some travel.
