Description
How we LEAD:
Universal Music Group Global IT seeks a talented IT Coordinator to join our IT Operations team. The objective of this role is to offer support to 3 Senior Members of UMG IT Group. This candidate must have had extensive experience coordinating Training days/sessions, Meetings, Special Events etc. The IT Support Coordinator serves as a resource within a global organization and will be assigned to a variety of projects to insure processes are running smoothly and support daily operations. The ideal candidate will have excellent technical and interpersonal skills as well as a commitment to supporting our team values: Being of service to our clients; having a passion for our work; exemplifying integrity in all that we do and acting with courage by doing the right thing for our clients and business.
How you’ll CREATE:
• Meeting Coordinator for the Development teams
• Training Coordinator for User Enablement
• Support Daily operations to the SVP Engineering, SVP Strategy, SVP User Enablement and Technology Team
• Oversee the timecards for all Technology contractors
• Arrange meetings and conference calls via telephone and email
• Cover phone lines and manage/update calendars
• Coordinate and prioritize incoming verbal and email requests
• Book travel, accommodations, & car services
• Maintain a strong working knowledge of artist roster, employees, and important external contacts
• Work closely with Technology Office Manager, CIO Executive Assistant, and other executive assistants and occasionally cover their phone lines
• Proactively prepare respective executives for meetings
• Greet meeting participants & arrange tours
• Order and set-up food service for meetings for respective
• Serve as a gatekeeper to ensure that SVP Engineering’s calendar is focused on the most critical priorities of the day
• Process travel & entertainment expenses
• Create and maintain presentations and other projects as assigned
Bring your VIBE:
• Minimum 2 years of experience supporting C-level or other high-level executive with discretion and confidentiality.
• Prior experience in event management including travel, logistics and venue management
• Music or entertainment experience is highly preferred.
• Ability to interact comfortably and effectively with employees of our company at all levels including Senior Management
• Ability to interact comfortably and effectively with employees of companies we do business with
• Self-motivated, proactive, and resourceful
• Excellent follow-through and attention to detail
• Ability to be assertive when appropriate to deliver results
• Flexible – able to adjust to changing priorities, and able to multi-task
• Excellent customer service skills
• Excellent organization and time management skills
• Excellent written and verbal communication
• Strong proficiency in and working knowledge of Outlook and other Microsoft Office Products
• Particular focus in creating effective sales and informational presentations
• Bachelor’s Degree preferred
