We seek out the future leaders of tomorrow, with everyone connected working towards a shared vision.The intern will assist the Promotions team and 3rd Party agencies in all areas of Radio and TV promotion to ensure the smooth running of the department.The B Side : Skills & ExperienceRADIO & TV
• Tracking radio airplay & TV rotation using Radiomonitor & track lists on a daily basis
• Create & update comprehensive weekly Promotions reports across TV & Radio
• Making sure internal release schedules are up to date with domestic & international releases & accompanying activity on release, such as Official Videos, performances etc
• Research Artist Promo & Interview history when required in a campaign
• Sending bulletins to the label and artist teams regarding radio, video, and TV news
• Keep 'artist packs' up to date with relevant Press Releases, Press Packs, audio, one sheets etc
• Keeping an up-to-date calendar of all promotional opportunities and collating document of all undertaken promotional activity
• Updating continuous case studies on UK radio airplay charts & playlist addition metrics
• To ensure that the 65 mailing lists are kept up to date & regularly audited across National, Regional, Community, Specialist, TV & Podcast contacts
• Creating mailers to all key media on release & making sure correct mailing lists & contacts are receiving releases
• Analysing all final audio & visuals & marking timestamps for explicit content against OFCOM guidelines (this can take numerous hours for explicit videos & album projects)
• Assist department with sending videos, lyrics, riders, equipment lists, label copy, release dates and forthcoming releases, publicity photos
• Working with marketing team to ensure promotions department has latest artists updates across Press, Streaming & MarketingRADIO
• Send round audio highlights of key radio plays & interviews
• Uploading assets to BBC Introducing, BBC Upload and other upload based services on release
• To ensure that internal databases are kept up to date with schedule changes across TV & radio, new broadcast initiatives & RAJAR figures
• Making sure all new releases are sent to Radiomonitor to ensure airplay tracking
• Commissioning extended audio & alternate edits for radioTV
• Submitting Quality Assurance Checks for TV Broadcasting Services
• Obtaining video files, checking formatting & delivering to Promostream and mail out to key media as and when required
• Tracking & approving Promostream requests & adding to promotions reports
• To ensure all TV's with artists are logged/recorded and links ordered at Intelligent MediaFINANCE
• To process Uniport invoices for various artists expenses such as travel, external parties & pluggers
• Have a responsible attitude towards department expenditure and 'value for money'
• To maintain and manage promotional budgets with the relevant plugger and Director of promotions informedADMIN
• Attending gigs/events during out of office hours
• Organising entertaining related gifts for contacts & tracking delivery
• Assist the Promotions Department with general duties
• Updating key radio & tv target documents with new opportunities whilst auditing new stations, shows & the shifting landscape of broadcast media
• To be the Promotion teams point of contact whilst the Pluggers are away from the building, for internal staff, media, artist managers and for the team when they are out of the office e.g. sending product, ordering cars as requested etc
• Tracking cars pickup & drop off points & that artists & staff are embark & disembark on any journeys safely
• Ensure the smooth running of the promotions department in the office, by providing admin support to the team
• Making sure stationary is in stock for the department & all artist riders are up to date & provided diligently
• Create & coordinate artist promotions schedules, including travel for artist, band & crew when required
• Order promotional stock on behalf of the team (Merchandise/ Gig Tickets/ Vinyl), distribute and keep a note of quantities.
• Organising physical mailouts where needed
• To order gig tickets for the department/out of house pluggers
• Assist the Director of Promotions when prepping for weekly label meetings
• Auditing all release assets to ensure all necessary assets have been acquired before release & are correctly formatted & titled
• Liaising with external pluggers to provide release timelines, updates & assets
• Co-ordinating guest lists for tours and showcases
• Organising hair, make-up and stylists for artists as directed
• To organise work permits when necessary for international artistsDIARY
• Scheduling and adding pluggers meetings into necessary diaries
• Manage internal meetings in the diary, managing no clashes and creating an effective working diary for the Promotions Director
• Prioritising meetings and having experience with diary management
• Liaising with VIP contacts across TV and Radio to plan and co-ordinate promo meetings/ dining.
• Learn the workings of plugging meetings across the various national radio stations & plan the promotions' team diary accordingly; reaching out to team, scheduling in meetings, sending Zoom links & more
• Booking meals for events with key contacts & artists (this requires liaising with radio / TV platform, editors & management)
• Make sure all promotional activity & London gigs are in all the team members diaries
• Booking and co-ordinating any relevant work travel for the Promotions Director Person Specification
