The A Side: A Day in The Life
To provide a responsive HR administration service to HR Business Partners, Line Managers and Employees; to support colleagues with the delivery of HR activities and projects and to effectively manage any allocated admin processes.
The B Side: Skills & ExperienceBe administrative
• To provide HR administration support to allocated business areas and HR Business Partners.
• To respond to queries from managers, employees, candidates, suppliers attempting to resolve their questions immediately, or if resolution not possible, refer them to the appropriate person.
• To ensure that all employee data is updated immediately in file stream system.
• To update the Employee Change Report with all employee changes on a weekly basis.
• To prepare internal approval documents for any changes within the business.
• To prepare offer letters and contracts of employment.
• To produce regular and ad-hoc reports from the HR system.
• To comply fully with GDPR and other legislative requirements at all times.
• To carry out any other reasonable instruction as directed.
• To track contract and service agreement review dates.
• To administer holiday buy, free product and other benefits as requested.
• To minute meetings as requested such as disciplinary or grievance.
• To open and distribute the daily post in the department.
• To process leavers including drafting of leaver letters.
• To diarise probationary periods and sending out probationary review forms and preparing probationary letters.
• To ensure that all company organisation charts are updated immediately changes occur.
• To ensure that accurate absence records are kept for the business at all times.
Be operational
• To conduct induction for all new starters on a fortnightly basis in line with our new on-boarding processes.
• To work alongside the Payroll team to ensure that monthly payroll is administered according to processing dates and annual calendar key dates.
• To process correspondence to the department, including reference requests, mortgage requests and requests for general information.
• To assist in the salary review and bonus payment processes in terms of data checking and capture and correspondence to employees advising them of any changes.
• To keep HR department processes up to date at all times and ensure that they are revised on a regular basis.
• To assist HR Business Partners as necessary in any HR issues within their designated client groups.
• To assist the HR team with any project work as necessary.
• To support recruitment, training & development activities as required.
Person specification:Essential
• Experience working within an HR department
• Experience using online HR systems – ideally Workday
• Customer service skills, dealing with telephone queries, emails, face-to-face requests politely and efficiently
• Highly organised with proven administration skills and a high attention to detail
• Proficient in the use of Microsoft Office suite particularly Word, Excel and Outlook
• Proven experience of working under pressure in a calm, efficient and organised manner
• Ability to work to deadlines and prioritise work
• Ability to develop strong working relationships across various levels throughout an organisation
• Self motivated with the ability to work as part of a team
• Creative in ideas to improve upon process and systems
• Proactive approach
• Interest in the music industry
Desirable
• Experience working for multiple managers / in a matrix structure
• Working knowledge of HR best practice and legislation
