main purpose of role
Overview of the Role
Working as an assistant to Director of Events, the main responsibilities for the Artist Relations Assistant are as follows:
• Act as a main point of contact across all the Universal Music labels for the Artist Relations team.
• Maintaining Artist’s profile for the company by updating the central calendar to ensure the department has the most up to date information on artist trips/gigs/events and birthdays.
• Compiling a weekly report documenting all artist activity across all subsidiary labels.
• Assist with organisation of events – new artist showcases, album playbacks, after parties, Brits aftershow amongst other events.
• Compiling, continually researching and updating database of suitable venues for the above.
• Liaising directly with venues, set designers, production teams and branding companies to deliver innovative and original events for artists across all musical genres
• Cultivate good working relationships with key contacts within the company as well as externally with venues, hotels, designers and production teams.
• Central point person for Universal artist and VIP gift purchasing, maintaining a central overview of all expenditure and purchases.
• Assist the Artist Relations team to update International artist itineraries and promotional trips – involves working closely with artist management and US label affiliates to ensure all promotional requests are approved and scheduled appropriately for each artist.
• Assist Artist Relations team with logistics of artist trips such as hotel bookings, transport arrangements, work permits and riders.
• Co-ordinating awards ceremonies tickets and drinks etc.

• Experience of working in a similar administrate / support role with above average attention to detail, resourceful, highly organised with excellent administration skills
• Very personable, excellent verbal and written communication skills, with the ability to form strong working relationships with internal colleagues and external contacts.
• Ability to remain calm and think logically in high pressure/stressful situations
• Time management skills and the ability to prioritise
• Willingness to work outside of contracted hours when required
• Positive and upbeat attitude
• Good financial and budgetary skills also advantageous
