We are currently seeking an exceptional Analyst (who loves data!) for our Global Vendor Management Office (VMO). This position reports to the Director and is responsible for supporting the Global VMO and our U.S. business units with the operational aspects of vendor oversight and Global Corporate Social Responsibility (CSR) compliance. The VMO’s guiding principle is to support UMG in obtaining the greatest value from vendor contracts and ensure that procurement activities reflect our commitment to CSR.
Job Functions:
Vendor Management
• Prepares monthly PO Compliance reports for review and issues all reports to U.S. business units upon management approval
• Ensures that PO Compliance report comments from Business Units are addressed and resolved in a timely manner. Reports to management weekly on any outstanding issues.
• Becomes an expert in the BW reporting tool in order to facilitate on demand, ad-hoc and periodic spend reporting
• Can differentiate the department’s business requirements from services provided to Business Units and vendors
• Obtains spend data from SAP BW per given parameters, formats spreadsheets and performs data analysis to verify integrity of the data prior to presenting to management
• Gathers and presents specific vendor data (invoices, contracts, contacts, rates, terms etc.) to support special projects
• Maintains integrity of the spend classification process and uploads spend cube classification data to SAP BW on a weekly basis, ensuring that changes were effectively processed with no errors
• Is able to confidently present to the business on technical matters regarding spend and can translate technical terms into business terminology
• Coordinates projects for vendor account and contacts de-duping, and data clean-up, global vendor assignments
• Maintains department analytics such as customer service response times, number of service requests addressed, open items, closed items etc.
• Assists with PowerPoint deck preparation and revision as needed
• Is able to critically evaluate requests and works together with the team to develop best practices around the department’s business processes
Corporate Social Responsibility (CSR)
• Understands each step of the Vivendi Protocol reporting process end to end including the roles/responsibilities of the stakeholders. Works to develop process strengths and identifies and targets weaknesses in the process for improvement.
• Responsible for maintaining organization of and version control for Vivendi Protocol Reporting drafts by territory for each of our seven reporting territories
• Responsible for tracking submissions of global territory CSR reporting, reviewing for missing content and/or errors in content, tracking and reporting of open items at any point in time during the reporting process
• Supports Supplier CSR Assessment Survey submissions tracking of completed surveys, archiving of responses and supporting documentation, and supporting the CSR Manager with recording and reporting scores
• CSR Assessment Survey reporting follow-up
• Content preparation, review and editing
• Assists with content and design elements of CSR materials for internal and external stakeholders
• Preparation and review of MS PowerPoint department presentations
• Preparation of CSR materials to target stakeholder/supplier engagement
• Contacts CSR stakeholders as needed
• Assists and participates with all CSR department led initiatives
Administrative Support
• Maintains & Distributes Department Calendar
• Collects weekly staff meeting topics, prepares agendas, takes and distributes meeting minutes and follows-up on open items as needed
• Prepares executive expense reports bi-weekly
• Books executive travel as needed
• Supports preparation for department meetings: coordinating schedules and booking meetings, ordering lunch for participants, booking conference rooms, preparation/printing/distribution of meeting materials
• Maintains VMO shared drive integrity ensuring version control and naming conventions are adhered to
• Is reliable as a second pair of eyes for editing of written reports and second checks on analytical data
• Ensures organizational integrity of the VMO inbox is being followed
Job Requirements:
Skills/Abilities:
• Required strong analysis and operational usage of SAP (BW/ECC), SharePoint and MS Excel
• Strong analytical background, comfort with complex data-oriented products & structured problem solving capabilities
• Meticulous attention to detail
• Ability to present and communicate cross functionally
• Interacts effectively with all levels at UMG and externally with vendors as required
• Aptitude for interacting professionally with all levels of personnel, including label Executives
• Excellent verbal and written communication skills
• Ability to work independently and as part of a team in a fast-paced environment
• Address issues in a timely fashion and can work under time constraints
• Capacity to multi-task, prioritize and juggle competing priorities
• Must be able to keep information confidential
• Essential to be self-motivated and extremely well organized
• Strong independent problem solving and communication skills are needed to research issues and perform special projects tasks when needed
Experience:
• 3 years minimum relevant experience including vendor management with accountability to measure output.
• Experience in an IT Vendor Management Office or Corporate Social Responsibility Department, preferred
• Advanced skills with the following applications required:

Education:
• BA/BS degree in a technical/business-oriented field (e.g., Business, Computer Science, MIS) required (other degrees considered if the candidate is strong)
