Famehouse is seeking a highly organized and proactive Administrative Assistant to provide administrative support to the SVP of Merchandising & Commercial Strategy and the SVP of Business Affairs.
This role is primarily administrative and plays a critical part in ensuring seamless day-to-day operations for senior leadership. The ideal candidate demonstrates exceptional judgment, discretion, and the ability to manage competing priorities in a fast-paced executive environment.
Executive & Administrative Support
• Manage complex, high-volume calendars and prioritize meetings across internal and external stakeholders
• Anticipate conflicts and proactively adjust schedules to optimize executive time
• Coordinate domestic and international travel, including detailed itineraries and logistics
• Prepare and process expense reports in a timely and accurate manner
• Organize internal and external meetings, including agendas, materials, and follow-up
• Draft and manage executive communications and correspondence
• Maintain organized and confidential files, contracts, and business documentation
• Track key deadlines, deal milestones, and approval workflows
• Prepare executive presentations and briefing materials
Event & Hospitality Coordination
• Support planning and execution of executive meetings, offsites, dinners, and industry events
• Coordinate venue logistics, catering, guest lists, and on-site execution
• Ensure executive office and meeting spaces are polished and guest-ready
• Welcome high-profile guests and maintain a professional, hospitality-driven environment
Bring Your VIBE
• 2–5 years of administrative experience, ideally within entertainment, media, or a corporate environment
• Proven experience managing complex calendars and executive travel
• Exceptional organizational skills and attention to detail
• Strong written and verbal communication skills
• High level of professionalism, integrity, and discretion
• Ability to manage multiple priorities with composure and accuracy
• Proficiency in Microsoft Office (Outlook, PowerPoint, Excel) and/or Keynote
• Interest in music, merchandising, and commercial strategy preferred
