Universal Music Group is seeking a (dynamic and self-driven) Administrative Assistant to support the senior U.S. media team in the Global Communications Department. The position will assist two Vice Presidents, the Senior Vice President of Global Communications, and will help coordinate and monitor the company’s global media output and engagement across all areas of business including recorded music, music publishing, Brand Partnerships, Merchandising and Licensing, Film & TV Projects, Digital, Legal, Social media, Philanthropic projects, public and social affairs.
How you’ll CREATE:
A successful candidate will have exceptional attention to detail, great organizational skills, the ability to meet critical deadlines, and to juggle multiple priorities in a fast-paced environment. This role requires a high level of integrity, discretion and judgement in handling confidential information, as well as professionalism in dealing with senior executives inside and outside the company and external media contacts.
• Provide administrative and operational support to executives and global communications team.
• Manage complex and fluctuating schedules, including scheduling meetings, coordinating calls – both domestic and international, prioritizing calendars and follow up
• Coordinate and book complex travel; prepare itineraries
• Prepare and track expense reports
• Track press releases, send out news alerts and compile detailed press clipping reports, utilizing media monitoring and analysis tools and subscriptions.
• Coordinate approvals for and monitor all company speaker requests ww.
• Manage project deadlines, including keeping organized status reports
• Work closely with all areas of global comms team to support business and financial reporting, company content and portfolio. Compile and coordinate monthly highlights for internal use.
• Assist with organizing meeting and event planning
• Other duties as assigned
• Manage media subscriptions, editorial calendars and maintain and circulate the company media schedule to internal stakeholders.
• Ensuring resources, department and media contacts are up to date and that those resources are accessible to all team.
• Support team across major media events, social media and announcements, Internal and external campaigns
Bring your VIBE:
• Work experience and/or internships at PR agencies, in-house communications departments or media outlets
• Demonstrated skill in a fast-paced administrative support role
• Proficiency with Microsoft Office, Microsoft Excel, Google Docs. Familiarity with Sharepoint and other team management tools useful but not essential.
• Excellent verbal and written communication skills
• Ability to manage multiple projects simultaneously and work autonomously in a fast-paced, high-growth environment
• Extremely organized with superior time management skills
• Knowledge and interest in public relations, communications, media or music industry, press/media outlets, creative content and/or social media.
• Willingness to learn and take on new responsibilities as needed
• Excellent professional and social judgment
• Creatively-minded
• Ambitious, Instinctual and self motivated. A problem solver.
• Working knowledge of Cision Point preferred
