How we LEAD:

We are hiring for an Administrative Assistant, Imperial to join our team.

How you’ll CREATE:
• Manage the executive’s desk and daily schedule, including answering phones, manage itineraries, meetings and events, maintaining contact to inform them of upcoming appointments and meetings; Identifying key issues and prioritizing the schedule accordingly.
• Coordinate the logistics of Meetings, Conference Calls and Video Conferences
• Serve as point of contact for the Department
• Manage and execute various travel arrangements as needed
• Process travel & entertainment expenses with accurate coding, resolve payment issues
• Assemble reports that collect streaming, sales/consumption, social and other tracking data
• Create and maintain release schedule including tracking assets and deliverables
• Manage Uniport – new supplier set up, create PO’s, code and process invoices
• Log-in and track new artists Imperial is courting or researching
• Strong knowledge of Social Media platforms including but not limited to Tik Tok, IG, Facebook, Twitter and more
• Coordinate digital advertising campaigns through UMG Central team including trafficking assets, tracking performance and sharing reports.
• Coordinate indies for press, marketing and radio on certain projects
• Coordinate and assist with project campaigns and marketing initiatives
• Distribute music via Studio-CDN (and watermarked CD’s when needed) within Universal and externally
• Work hand in hand with artist and managers to collect music metadata, credits (i.e. Management Information, legal, art credit, web site information, etc.) for album release from Artist Management, Producer managers, mixers, engineers, collect publishing credits on all songs written
• Attend showcases or concerts at local venues

Bring your VIBE:
• 1-2 years of experience supporting executives
• Experience in the music and digital platforms preferred
• Must also demonstrate initiative, resourcefulness, and an ability to manage multiple assignments under tight deadlines
• Experience working with Audio files, artwork files and Dropbox required
• Experience with Spotify, iTunes, apple music and other streaming platforms will be critical including the ability to be analytical, manage and compile data and metrics/trends.
• Ability to interact comfortably and effectively with employees of our company at all levels including Senior Management
• Interest in music and a solid understanding of the music business and the roles of various departments of a record label
• Self-motivated, proactive, and resourceful
• Excellent follow-through and attention to detail
• Flexible – able to adjust to changing priorities, and able to multi-task under pressure
• Able to work in a very fast and energetic environment
• Photoshop or editing skills a plus.
• Excellent oral and written communication skills required
• Strong proficiency and working knowledge of Mac and PC experience (proficiency in MS Word & Excel, PowerPoint)
• Internet savvy
• Ability to handle confidential information
• Highly motivated with networking ability
• Excellent organization and time management skills
• Self-motivated, proactive, and resourceful
• Excellent follow-through and attention to detail
• Flexible – able to adjust to changing priorities, and able to multi-task under pressure
• Must be flexible to overtime, as/if needed
