We are currently hiring for the position of:
COORDINATOR, MARKET EVENT & PROGRAMMING SALES
The Coordinator, Market Event & Programming Sales provides administrative and logistical support for the sales and execution of Market events, activations, and programming partnerships at TIFF: The Market.
This role is responsible for coordinating event sales processes, supporting partner deliverables, and assisting with the execution of industry events and programming initiatives. Working closely with programming, production, marketing, and operations teams, the Coordinator helps ensure accurate documentation, smooth communication, and timely delivery of all event and partnership requirements.
RESPONSIBILITIES:
Sales & Administrative Support
• Provide administrative support to the Event & Programming Sales team
• Assist with sales materials, proposal formatting, and presentation preparation
• Conduct prospect research and support outreach coordination
• Maintain CRM systems, ensuring accurate data entry and pipeline tracking
• Support documentation and tracking of contracts, agreements, and sales materials
Event & Programming Coordination
• Coordinate the execution of Market events, activations, and programming initiatives
• Maintain event timelines, schedules, and internal planning documents
• Assist in coordinating event logistics across venues, including TIFF Lightbox and Market event spaces
• Support internal approvals and documentation processes
Client & Partner Support
• Support communication with partners by coordinating deliverables, timelines, and approvals
• Assist in responding to partner inquiries and escalating issues as needed
• Track partner requirements, assets, and deliverables to ensure all commitments are met
• Maintain organized records of partner communications and agreements
Operations & Logistics
• Coordinate with programming, production, and operations teams to support event execution
• Track and organize materials, content, and technical requirements from partners
• Assist with scheduling, logistics, and on-site coordination
• Ensure all documentation and materials are accurate and up to date
Financial & Reporting Support
• Assist with tracking revenue-related documentation, estimates, and invoicing
• Support administrative aspects of budgeting and financial reconciliation
• Maintain organized financial records and documentation
• Assist with basic reporting and data entry as required
Cross-Functional Coordination
• Liaise with internal teams (programming, production, marketing, and operations) to support execution
• Assist in coordinating communication and information flow across departments
• Support team organization and project tracking
On-Site Market Support
• Provide on-site support for events and programming during the Market
• Assist with event setup, coordination, and execution across venues
• Help troubleshoot operational issues and escalate to senior team members when required
• Job Grade 1
TARGET CONTRACT DATES:
• June 1st, 2026 - September 20th, 2026
WORK LOCATION:
• Office Location: 350 King Street West, Toronto, ON M5V 3X5
• Weekly in-office requirements:
• Minimum 2 days (November to April)
• Minimum 3 days (May to October)
• Festival Office Requirements: Full Time during Festival
MINIMUM REQUIREMENTS:
• Bachelor’s degree in Business, Marketing, Communications, Event Management, Arts Administration, Film Studies, or related field (or equivalent experience)
• 1–3 years of experience in an administrative, coordination, or event support role
• Strong organizational and time-management skills with attention to detail
• Ability to manage multiple tasks and deadlines in a fast-paced environment
• Strong written and verbal communication skills
• Proficiency in Microsoft Excel and administrative systems (CRM experience is an asset)
• Ability to work collaboratively across multiple teams
• Experience in events, arts, culture, or entertainment environments is an asset
• Ability to work flexible hours, including evenings and weekends during event periods
• Availability for on-site work during event execution
