We are currently hiring for the position of:
Manager, Facilities
The Facilities Manager plays a leadership role in maintaining the operational excellence of the TIFF Lightbox, ensuring a high standard of hospitality and functionality across all event and work spaces. This role is responsible for supervising day-to-day building support operations, managing the Facility Assistants and Administrative Coordinator, overseeing internal renovations and infrastructure improvements, and aligning efforts with the Visitor Experience Team to provide seamless support for all TIFF events, departments and activities.
RESPONSIBILITIES:
• Oversee the scheduling and performance of Facility Assistants & Administrative Coordinator. Lead onboarding and training, set clear expectations, and foster a culture of professionalism, responsiveness, and collaboration.
• Collaborate with the Visitor Experience Team, especially Event Production, Cinema Operations, and Festival Logistics, to ensure smooth daily operations and strengthen internal logistics systems.
• Work closely with the Senior Manager to develop building use policies that support long-term maintenance and a staff-friendly environment.
• Support long-term planning efforts in collaboration with the Senior Manager, particularly in creating POs, planning operational budget, and sustainable space maintenance.
• Maintain and evolve the Facility Operations Framework and the Facility Assistants Everything Book, ensuring consistent implementation of procedures and high standards across the team.
• Lead physical space upgrades and renovations — including 2M and 3M storage areas, signage, and kitchenette improvements — while managing key facility assets such as in-house furniture, S&R items, and carpet inventory. Clear and reorganize the building storage to improve accessibility and efficiency for festivals.
• Supervisory role overseeing the vendors we have in house – ie. security and cleaning teams. Responsible for handling escalations and provide directions, where needed.
• Responsible for the upkeep and management of the preventative maintenance tracker and multi-year capital expenditure (Capex) roadmap, identifying and articulation long-lead infrastructure requirements.
• Responsible for the support required for year round live events in the TIFF Lightbox, ensuring facilities team support is scheduled accordingly, as well as spaces within the facility are visitor ready to the highest standards.

WORK LOCATION:
• Office Location: 350 King Street West, Toronto, ON M5V 3X5
• Weekly in-office requirements:
• Minimum 2 days (November to April)
• Minimum 3 days (May to October)
• Festival Office Requirements: Full Time during Festival
MINIMUM REQUIREMENTS:
• 5 years experience in facility operations environment
• Experience in managing multiple contracts which support the building
• Experience in managing 3rd party contractors
• Experience in event based environment, fast paced, multi tasking, prioritizing daily tasks
• Demonstrated leadership and supervisory abilities
• High School diploma needed
• Post secondary diploma in field would be considered an asset
