We are currently hiring for the position of:
COORDINATOR, ADVERTISING & PROMOTIONS
The Advertising & Promotions Coordinator provides administrative and logistical support for the execution of advertising and promotional campaigns for TIFF: The Market. This role is responsible for coordinating campaign deliverables, maintaining accurate records, and supporting partner activations across Market venues, including the Metro Toronto Convention Centre (MTCC) and TIFF Lightbox.
Working closely with internal teams, the Coordinator ensures campaigns are delivered on time, assets are properly tracked, and partners receive a high level of service throughout the Market.
RESPONSIBILITIES:
Shall include but not be limited to:
Campaign Coordination & Execution
• Coordinate the day-to-day execution of advertising and promotional campaigns
• Maintain client campaign timelines, schedules, and deliverables
• Track advertising inventory and support placement across Market venues and platforms
• Assist in preparing and organizing campaign materials and assets
• Conduct prospect research and support outreach coordination
Administrative & Sales Support
• Provide administrative support to the Advertising & Promotions team
• Assist with proposal formatting, presentation materials, and documentation
• Maintain CRM systems and ensure accurate data entry and record keeping
• Support the tracking of sales materials, contracts, and internal documents
Client & Partner Coordination
• Support communication with partners by coordinating deliverables, timelines, and approvals
• Assist in responding to partner inquiries and escalating issues as needed
• Help ensure all partner requirements are documented and fulfilled
• Maintain organized records of partner communications and agreements
Operations & Logistics
• Coordinate internal workflows to support client campaign delivery
• Work with production and operations teams to ensure assets are delivered and installed as required
• Track invoices, payments, and related documentation
• Ensure accuracy and consistency across all client campaign-related materials
Cross-Functional Support
• Liaise with internal teams (sales, marketing, programming, production, and operations) to support execution
• Assist in coordinating information flow between teams
• Support general team organization and project tracking
Reporting & Documentation
• Assist in tracking campaign details and maintaining reporting documents
• Compile post-event materials, including summaries and partner feedback
• Support data entry and basic reporting as required
On-Site Festival Support
• Provide on-site support for advertising and promotional activations during the Market
• Assist with setup, coordination, and execution across venues
• Help troubleshoot issues and escalate to the Manager when needed
• Job Grade: 1
WORK LOCATION:
• Office Location: 350 King Street West, Toronto, ON M5V 3X5
• Weekly in-office requirements:
• Minimum 2 days (November to April)
• Minimum 3 days (May to October)
• Festival Office Requirements: Full Time during Festival
MINIMUM REQUIREMENTS:
• Bachelor’s degree in Business, Marketing, Communications, Film Studies, Event Management, or related field (or equivalent experience)
• 1–3 years of experience in an administrative, coordination, or event support role
• Strong organizational skills and attention to detail
• Ability to manage multiple tasks and deadlines in a fast-paced environment
• Strong written and verbal communication skills
• Proficiency in Microsoft Excel and administrative systems (CRM experience is an asset)
• Ability to work collaboratively within a team environment
• Availability for on-site work during event execution
