This is a Full Time Job
Employment dates: December 2, 2019 thru April 10, 2020.
Considerations: Position works variable hours (10-16 hours per week) December-January then increases to full-time (40 hours per week) February-end date working in the CA/NY office. When working full time, the position may be required to work extended hours and some weekends to meet deadlines. Position will also be required to travel and be lodged during the Art of Non-Fiction (AONF) event being held at Sundance Resort, UT.
Position General Summary: This position is responsible for facilitating planning and the onsite execution of the Art of Nonfiction (AONF) Convening and related activities.
Essential Job Functions and Duties:
• With Director supports the conception of the AONF event.
• Supports Director in the conception and execution of a four-year AONF initiative evaluation.
• Supports Director in identifying and commissioning an author for a landscape survey.
• Creates logistical plans working closely with the Lab Operations team.
• Conducts research as directed.
• Manages master timelines, adherence to procedures, and deadlines related to the event across all internal and external stakeholders.
• Attends operational meetings to update and collaborate with internal departments to meet the event needs.
• Coordinates all guest relations, including communications prior to the event and responses to guest inquiries received via email and phone preferably within 24 hours.
• Works closely with the Director to create the schedule of events for the convening.
• Executes the convening's on-site program working closely with Lab Operations and DFP stakeholders.
• Tracks expenses against budget and submits timely invoices, following all Finance Department procedures.
• Other duties as assigned.
Position Requirements:
• Legal authorization to work in the United States.
• 3-5 years of experience in operational or event production (planning - implementation).
• Possesses excellent interpersonal, written and oral communication skills.
• Excellent organizational skills including self-management of work schedule.
• Ability to interact effectively with all levels of staff and a variety of people.
• Highest levels of personal and professional integrity.
• Strong project management skills.
• Ability to work nights and weekends around events and key deadlines.
Preferred Education
, Experience, and Skills:
• Working knowledge of databases along with proficiency in Google Products.
• Experience with tracking and maintaining budgets.
• Experience with documentary film production.
