This is a Full Time Job
The Coordinator supports the VP of Business Affairs Admin in domestic television. In this role, the coordinator interfaces and coordinates with creative, business affairs, legal, payroll, accounts payable, finance, IT, talent agents, outside attorneys, and business managers.
Responsibilities
• Coordinate and process payments associated with television projects in development.
• Review, track, and process invoices and other payment documentation.
• Enter and maintain payment information accurately across multiple internal platforms and databases.
• Track internal payment approvals and follow up with the appropriate parties to ensure timely completion.
• Communicate with talent agents, outside attorneys, business managers, vendors, and internal staff regarding payment requirements and status.
• Identify missing or incomplete payment documentation and coordinate with the appropriate parties to resolve outstanding issues.
• Provide organizational and administrative support to the Vice President of Business Affairs Administration.
• Manage calendars, schedule meetings and appointments, and coordinate meeting logistics.
• Arrange conference rooms, technology support, supplies, materials, and room setup for meetings.
• Draft, proofread, format, and distribute correspondence and other departmental communications.
• Perform general administrative duties, including processing mail, copying, scanning, filing, and maintaining electronic records.
• Update and maintain departmental databases, organizational charts, contact lists, and distribution lists.
• Assist with special projects and other departmental priorities as assigned.
Requirements
• 2-3 years of entertainment or agency experience
• Ability to absorb new information quickly
• Excellent verbal (professional and friendly demeanor) and written (spelling, punctuation, grammar) communication skills.
• Proficient in Microsoft Word, Outlook, Excel, PowerPoint
• Exceptional organizational and interpersonal skills
• Strong Analytical Skills
• High Attention to Detail
• Ability to work in a High Volume Fast Paced Environment
• Must be able to meet deadlines
• Must have a no task is to small attitude
• Bonus: Airtable experience is a plus
