Creative Operations Coordinator, Columbia
Sony Music
Los Angeles, CAThis is a Full Time Job
This role keeps Creative Operations running across Columbia's Creative department, coordinating deliverables, footage, vendors, payments, budgets, and approvals so nothing falls through the cracks. The Coordinator, Creative Operations partners closely with the SVP of Creative Leads, internal label teams, artist management, and production partners to strengthen day-to-day execution, production support, archive reliability, and Columbia's in-house content capabilities.
What you'll do:
• Provide day-to-day operational and project support across Creative department projects, including scheduling, meetings/notes, vendor follow-up, invoices/expenses, and supplies.
• Support the SVP of Creative Leads with travel arrangements, administrative needs, and day-to-day coordination, in addition to timelines, shoot logistics, vendor outreach, creative decks/briefs, production calendars, and deliverable tracking.
• Process and track payments, invoices, purchase orders, contracts, releases, and vendor onboarding; partner with A&R Administration, Finance, Business & Legal Affairs, and production companies to keep payments and projects moving.
• Manage the intake of production deliverables - raw footage, final assets, metadata, and supporting materials - and organize/ingest footage into the Sony archive so teams can reliably find assets for re-releases, legacy projects, and future creative needs.
• Support productions end to end alongside Creative Leads: video solicitation, budget approvals, pre-production needs (wardrobe, riders, glam, security, call sheets, travel, etc.), and post-production needs (cuts, notes, asset delivery, archival).
• Maintain production/vendor databases and coordinate shoot logistics - crew/vendor resources, glam, travel, hotels, transportation, studios, equipment, meetings, events, and on-set support as requested; serve as the operational liaison between Creative Leads, the Creative department, internal teams, artist management, and external partners.
Who you are:
• 2 years of creative operations, production coordination, administrative, video, music, or entertainment experience.
• Organized, detail-oriented, and comfortable managing many moving pieces, deadlines, deliverables, approvals, and stakeholders in a fast-paced, high-volume environment.
• You understand production workflows - including pre-production, shoots, budgets, payments, vendors, post-production, asset delivery, and archive intake.
• A proactive communicator and resourceful problem solver who is great with people, calm under pressure, and committed to helping teams do their best work.
• Passionate about music, artists, pop culture, visual storytelling, video, and current social/creative trends.
