This is a Full Time Job
The Manager, Operations & Facilities, plays a central role in ensuring the smooth, efficient, and professional daily operations of SKG Entertainment's Beverly Hills office. Acting as the first point of contact for visitors and staff, this position oversees front desk reception, office facilities, vendor management, including offsite and onsite storage, office and building coordination, and some general administrative support.
In addition to supporting day-to-day office operations, the Manager provides direct administrative and scheduling support to the Chief Financial Officer and serves as a liaison with building management, external vendors, and internal departments to maintain a well-functioning and welcoming workplace aligned with SKG's culture and standards.
Facilities & Office Operations
• Manage all aspects of well-functioning office, including office supply inventory, equipment maintenance, craft services, and vendor relationships (janitorial, copier, IT support, etc.).
• Manage and implement office space planning, workstation setup, and moves for new hires and visiting employees.
• Ensure workplace safety, cleanliness, and compliance with company policies and local regulations.
• Serve as primary liaison with building management regarding maintenance requests, security access, HVAC, safety training, incoming mail and parking coordination.
Catering & Event Coordination
• Manage and execute catering for meetings, company events, and community lunches, ensuring alignment with dietary preferences and budget guidelines.
• Maintain preferred vendor lists for catering, supplies, and event services.
• Support logistics for in-office events and celebrations, including setup, décor, and cleanup.
• Draft and compile notes for all company meetings, upon request
Communications & Culture
• Draft and distribute office-wide communications such as facility notices, event reminders, and meeting invitations.
• Partner with the SVP, People Operations to support employee experience, culture initiatives, and wellness activities.
• Represent SKG's values of professionalism, hospitality, and collaboration in all interactions.
General Operations Support
• Track and manage office-related expenses, submitting invoices and reimbursements for approval.
• Support onboarding and offboarding processes as they relate to facilities access, equipment, and workstation setup.
• Maintain an up-to-date inventory of office assets and vendor contracts.
• Perform other operational duties and special projects as assigned to support organizational needs.
Front Desk & Reception
• Serve as the first point of contact for visitors, clients, and guests, creating a professional and welcoming experience.
• Answer and direct incoming calls, emails, and inquiries promptly and courteously.
• Manage visitor parking validations, mail, deliveries, and courier services.
• Maintain the appearance and organization of the lobby and reception area in accordance with company standards.
Administrative & Scheduling Support
• Provide direct scheduling and administrative support to the CFO, including calendar management, meeting coordination, and travel logistics.
• Manage conference room bookings and support virtual meeting setup (Zoom, Teams, etc.).
• Maintain and update internal contact lists, distribution lists, and key operational documents.
• Assist with preparing meeting materials, agendas, and follow-ups as needed.
• Maintain and adjust for changes to the Company's Organizational Chart
Qualifications
• 3+ years of administrative, operations, or facilities coordination experience in a corporate or entertainment environment.
• Exceptional organizational and multitasking skills with a strong attention to detail.
• Excellent communication, interpersonal, and problem-solving abilities.
• Proficiency in Microsoft Office Suite, Outlook, and virtual collaboration tools (Teams, Zoom, Slack).
• Professional demeanor and ability to maintain confidentiality at all times.
