Parallax Studios is a fast-growing creative design and entertainment studio based in Los Angeles. Collectively, our team draws from diverse industry experience across film ideation, production and marketing. We are looking for a bright go-getter to help us achieve our company goals.
We are looking for a results-oriented, resourceful team member to help support the development and production processes for our company projects as well as our internal operations. You will work alongside the concept and visualization teams to help create and sustain best practices across internal personnel, international freelancers and vendors. In partnering with both the working teams and executive management, you will help ensure a day to day workflow that consistently delivers results that exceed expectations on time and under budget. You will also work with the CFO on reports, budgets and processing payments.
This is a full-time position for our Los Angeles office. Employees are in-person Monday and Thursday at our Los Angeles office. Tuesdays, Wednesdays and Fridays are work from home.
Responsibilities:
• Track project invoicing, tasks status, artist assignment, artist rate and dates worked
• Update budget tracking document
• Put together bids, production timelines, workflow charts, etc. for new projects
• Help create client invoices, send to clients, track invoice payments and follow up on overdue invoices
• Remind artists to submit invoices and ensure their timely payment
• Handle all payment processing for the company
• Track permalancer hours
• Maintain freelancer database with frequent communication to keep info up to date
• Review bank wiring forms and tax documents for freelance artists
• Oversee the onboarding and offboarding of freelance artists and full time employees
• Maintain tracking for all monthly and annual recurring charges
• Update Parallax website with new projects, new employees, etc.
• Perform ongoing industry research projects
• Read scripts and write up coverage for new projects
• Oversee holiday gifting for clients
• Book travel and plan logistics for company events and outings
• Handle administrative tasks and projects on a daily and ad hoc basis
Requirements:
• 1-2 years of project/production coordinator experience at a creative agency/studio
• Bachelor's Degree
• Budgeting and basic bookkeeping experience
• Exceptional organization, communication and time management skills
• Highly proficient in task management and budget management software
• Proven ability to work under rapid development cycles
• Adept at proactively identifying and resolving obstacles and issues
• Detail-oriented self-starter with strong multitasking skills
Preferred:
• Experience within the VFX and/or Animation pipeline
