Job Summary:
The HR Coordinator's role is twofold: balancing the administrative needs of the head of HR and supporting the delivery of our HR People Programs. They ensure our programs and other offerings run smoothly and meet the needs of our business. This is a full-time, non-exempt hourly role.
Responsibilities:
• Provide administrative support to the Head of HR through proactively managing Google calendars, scheduling meetings, preparing meeting agendas and materials, and taking notes when needed
• Coordinate and maintain tracking of projects and key initiatives, working in close partnership with the broader HR and Talent operations teams and key stakeholders
• Support in maintaining the HR drive and ensuring relevant content is up-to-date
• Assist in monitoring and managing travel arrangements while handling the processing of expenses efficiently
• Maintain discretion with highly sensitive and confidential materials and information
• Coordinate logistics and invitations for training sessions, off-sites, and special events as needed
• Create presentation decks, charts, graphs, and various materials, as needed
Qualifications:
• You have experience managing multiple calendars with discretion
• You are passionate about people-related programs and understand the importance and impact of HR, with some experience supporting HR programs, even if you've never done it as your primary job
• You are open to and respectful of cultural differences and are an effective collaborator and team player with an empathetic communication style that fosters inclusion, connection, and confidence
• You are there to listen, to support, and to ensure the train stays on track because you have a strong ability to plan proactively and react quickly when issues arise
• You take pride in excellence and are skilled in managing complicated calendars, keeping track of multiple events, creating interactive decks, and keeping detailed notes, records, and agendas
• You are adept at analyzing data and have a solid working knowledge of Google Sheets and Microsoft Excel
• You excel at managing your time and can easily budget out time for a project because you can juggle many projects simultaneously, but you also know when to say no
Requirements:
• Ability to work confidently with all levels of entertainment industry professionals, from A-list Animation Directors and Talent to award-winning heads of departments to entry-level production assistants
• Exposure to production and the working conditions, and experiences within a production environment (desired)
• General awareness or experience with facilitating training
• A collaborative style with the ability to think creatively about solutions
• Passion for the business of creating high quality feature animation; driven to accomplish and meet objectives
• A minimum of 2 years in Human Resources, Talent, or a related field, preferably in entertainment, animation, or creative industries
• High attention to detail and proven ability to handle sensitive and confidential information with discretion
• Basic awareness of labor laws and union guidelines a plus
