We are looking for an exceptional Executive Assistant & Studio Coordinator with 3-5 years experience working in a similar capacity for a media, TV, film, or boutique production studio. Your main responsibility will be managing the CEO's full agenda and travel schedule, as well as facilitation of key communications with clients, partners, investors, suppliers, and vendors. Additionally, you will be responsible for assisting the COO, VP of Production, Finance and Creative in the day to day running of the company. As the lynchpin of the studio, you should have an undying passion for the film and television industry, excellent communication skills as well as proficiency in Keynote, Microsoft Office, Google Drive, Keynote, and ideally a basic knowledge of Photoshop and/or InDesign. You are exceptionally organized and possess an innate sense of when to take initiative and when to ask for guidance. You are someone who shines in a multitasking environment, thrives in a support role, is instinctively able to juggle conflicting deadlines and is keen to develop a career in the media industry.
Duties include:
Serving as the first point of contact for all in-person and digital enquiries
Managing the CEO's communications, calendar, agenda, travel, and meeting schedules
Minute taking and action points development during and post meetings
Providing all necessary office management to upkeep supplies for all departments
Creating and improving administrative systems and processes to consolidate digital folders, contact lists, and company mail-outs and newsletters
Assisting in upkeep of NBTV's website and other digital platforms
Managing archive of completed films and assets
Serving as the key point of contact for building management
Assisting the VP of Production and Finance with invoice and accounts processing, receipts and internal budgets reconciliations
Assisting the VP of Creative in assembling of pitch decks in Keynote and InDesign, as well as providing quality research on requested topics and fields.
Excellent MS Office / Google Drive software skills
Ability to keep calm under pressure and deal sensitively and confidently with a range of contacts both within and outside NBTV
Ability to meet shifting deadlines and targets
Exceptional written and oral skills
