The Position
The Executive Search Coordinator will directly support NBCU’s Global Head of Executive Search. In addition, the successful candidate will partner with the team more broadly and work closely with research and operations leaders, supporting knowledge management initiatives and database management. The Executive Search Coordinator will focus on optimizing processes and procedures and foster a best-in-class experience for executive level candidates, senior leadership clients, HR leaders and executive management. Exceptional time and project management skills are key for success in this role. Technology and data savvy, combined with an ability to ensure a high degree of confidentiality and discretion.
Responsibilities include, but are not limited to:
• Support department head with calendar management, travel booking, expense reporting, and other administrative needs.
• Ensure “white glove” standard of service for all stakeholders (candidates, hiring managers, HR partners, interviewers, etc.) through all stages of the search process.
• Own interview / meeting coordination process throughout any search or project and ensure a high-touch recruitment experience for both candidates and clients, including constructing interview itineraries, arranging travel and managing logistics, handling reimbursement requests and expense reports, and acting as the primary point-of-contact.
• Manage general content, requisition and candidate tracking data in both NBCU’s Applicant Tracking System and the team’s customized Content Management System; assist in managing compliance and assure highest level of data accuracy.
• Draft and post role descriptions, ensuring compliance standards are met.
• Own initial New Hire Onboarding processes, including preparation of offer / transfer letters and contracts, initiating background checks and communicating with clients and new hires to ensure a smooth onboarding experience.
• Prepare status reports and client presentations as assigned.
• Collaborate with peers and other team members across offices on reporting and group best practices.
• Partner with corporate and divisional Talent Management leaders and partners on project specific assignments and foster general collaboration.
• Support other team members across the Executive Search organization as needed.
• Own special projects as assigned.
Qualifications
Basic Requirements:
• Minimum of 1 years experience in recruiting, candidate sourcing, recruitment operations, human resources or related field, with a demonstrated ability of meeting / exceeding fast-paced client demands.
• Accustomed to problem-solving quickly and efficiently, with a talent for predicting possible issues / roadblocks before they arise.
• A natural, yet professional ease at working with and relating to the needs of high-level clients and candidates in a fast-paced, ever-changing environment. Deep commitment of customer service.
• Direct experience and / or genuine interest in (Executive) Recruiting / Talent Management is a plus.
• Exceptional attention to detail, follow-through, verbal and written communication skills.
• Extremely flexible, highly organized, and able to shift priorities easily. Excellent time management skills.
• High level of integrity and professionalism, including the ability to work in a discreetly while handling highly confidential personal and business matters and data.
• Proven working experience with Microsoft Office Suite. General knowledge of and curiosity in advanced computing / AI / visual presentation applications desired.
• Knowledge of / interest in media, entertainment and technology a plus.
• Bachelor's degree preferred.
Additional Requirements:
Hybrid: This position has been designated as hybrid, which currently requires contributing from the office a minimum of three days per week. Beginning January 5, 2026, hybrid employees will be required to work from the office a minimum of four days per week. The Company reserves the right to change in-office requirements at any time.
