Executive Assistant to the Director
Location: Remote, U.S.-based (New York City area preferred but not required)
Employment type: Contract, hourly, with weekday availability
Hours: Minimum of 25 hours per week, averaging approximately 5 hours each weekday, scheduled within Eastern
Time business hours
Compensation: $35-$40 per hour, depending on experience
Reports to: The Director, one of MTCA's two senior organizational leaders
About the Role
MTCA is looking for an organized, resourceful, and technology-comfortable Executive Assistant to support the
Director and help daily operations run smoothly. The role centers on executive support: managing schedules,
organizing communication, anticipating needs, and helping the Director stay focused on top-priority work.
What You'll Do
Executive Support
• Manage the Director's calendar, including scheduling, rescheduling, and meeting preparation
• Coordinate meetings across multiple participants and time zones
• Monitor communications, flag urgent items, and draft responses when appropriate
• Manage text communications through MTCA's business line and the Director's business phone
• Track commitments, deadlines, and follow-up items
• Prepare agendas, notes, and background materials for meetings
• Anticipate administrative needs before they become obstacles
• Assist with select personal tasks such as travel and lodging arrangements
• Handle sensitive and confidential information with discretion
Administrative and Operational Coordination
• Maintain organized systems for documents, calendars, and contacts
• Support communication across the MTCA Executive team
• Document recurring processes and improve how information is storedand shared.
• Coordinate special projects, company activities, and occasional events
• Help ensure important projects stay on track and details don't get missed.
Technology and Systems Support
• Work regularly in Google Workspace (Gmail, Calendar, Drive, Docs, Sheets, Slides) and Slack
• Manage scheduling workflows using Calendly and related tools
• Adapt to new platforms as MTCA's systems evolve
• Research tools that may improve day-to-day efficiency
• Explore practical uses of AI and automation for administrative tasks

• Confidence working closely with a busy leader, including proposing ideas and solutions

• Quick comfort with new technology
• Reliable weekday availability coordinated with Eastern Time business hours
• An interest in supporting creative people with clear, practical systems
Qualifications
• Previous experience as an Executive Assistant or in a similar administrative role
• Strong calendar management and scheduling experience
• Excellent written and verbal communication skills
• Experience with Calendly or a similar scheduling platform
• Strong organizational and task-management skills
• Comfort working independently in a remote environment
• Demonstrated ability to learn new technology quickly
Helpful but not required:
• CRM implementation or administration
• AI and automation tools
• No-code or low-code application platforms
• Website, social media, SEO, or other marketing support
• Event support or coordination
• Experience in theatre, education, or another creative field
Schedule
This role requires reliable weekday availability, with a minimum of 25 hours per week averaging about 5 hours each weekday. The person hired can set their own daily schedule within that range, provided it aligns with the Director's Eastern Time business hours. This is an hourly contract position.
