THE ROLE
The Special Events Logistics Manager brings booked events to life, overseeing the details from the Sales handoff through event day and final settlement. This hands-on role serves as a key liaison between clients, the Special Events Sales team and the Venue Operations team to ensure every event is thoughtfully planned and seamlessly executed.
This is an ideal opportunity for someone who enjoys event planning, hospitality, client service, and the energy of live entertainment. You'll work directly with clients, coordinate event logistics, participate in planning meetings, and be on-site to ensure the event experience meets expectations from start to finish.
WHAT YOU'LL DO
Event Planning & Experience
• Own the planning, detailing, and execution of assigned special events from Sales handoff through event completion, serving as the primary liaison between clients, Sales, Operations, Production, and other internal teams.
• Coordinate all event logistics, including equipment, rentals, setups, production requirements, staffing, and other operational needs.
• Participate in SEO, Production, and event planning meetings; distribute final event details and ensure all teams are aligned on event requirements.
• Conduct client site inspections and walkthroughs, support special client requests, and provide on-site coordination to ensure a seamless event experience.
• Lead event pre-shifts with Operations and communicate event details, service expectations, and client needs to venue staff.
• Proactively identify and resolve event-related issues while maintaining strong client and internal relationships.
Financial & Operation Management
• Process and track event deposits, payments, accounts receivable, and event-night settlements in partnership with Sales and Finance.
• Complete required post-event documentation, including event recaps, captain reports, receipts, and billing information.
• Monitor event staffing and labor hours to ensure appropriate coverage and adherence to budget.
• Prepare weekly banquet summaries and maintain accurate event records and departmental documentation.
Department & Team Support
• Provide administrative and operational support to the Special Events Sales team, including maintaining sales kits, menus, collateral, and digital content.
• Support event marketing initiatives and quarterly competitive analysis.
• Assist with training venue staff on service standards, event procedures, and hospitality expectations.
• Support special projects and initiatives as assigned by the Director of Sales.
WHAT WE'RE LOOKING FOR
• High school diploma or equivalent required; college degree preferred.
• 1+ year of experience in customer service, hospitality, events, venue operations, or a related field.
• Strong organizational, communication, and time-management skills with exceptional attention to detail and the ability to manage multiple priorities in a fast-paced environment.
• Collaborative, proactive, and solutions-oriented approach to working with clients and cross-functional teams.
• Ability to accurately track payments, deposits, and event-related financial information.
• Proficiency with Microsoft Office, particularly Word and Excel; experience with databases or event management systems is a plus.
• Interest in live entertainment, hospitality, and event experiences.
• Ability to work a flexible schedule, including evenings, weekends, and holidays, based on event and venue needs.
