College Associate, Experiential – Custom Events & Hospitality
PROGRAM COMMITMENT
The College Associate Program is a full-time, immersive experience designed to deliver real-world learning, collaboration, and a whole lot of career-building momentum.
Program Dates: May 27 – August 7, 2026
To ensure that all associates can fully benefit from the program's training, mentorship, and project work, we kindly ask applicants to confirm their availability for the full length of the program. We understand that school schedules and personal plans vary, and we encourage applicants to review the dates in advance to ensure they can participate through the conclusion of the program without interruption.
Consistency keeps the College Associate program in sync and ensures everyone gets the full experience, from the first project kick-off to the final showcase. We want you here for all the good stuff!
THE JOB
You will work as part of the Media & Sponsorship with Experiential (Custom Events & Hospitality) as a College Associate, helping to execute Sponsorship projects with a focus on festival activations.
WHAT THIS ROLE WILL DO
• Support the Experiential Team across all areas of custom event and hospitality production, including design, logistics, research and sourcing, content, budgeting, legal, and marketing.
• Assist with event advances, coordinating details and updates with venues and vendors.
• Communicate event information across internal departments, partners, and external vendors.
• Manage orders and confirm details with catering, rentals, floral, and audiovisual vendors.
• Create and maintain event documents such as production books, tracking sheets, event decks, budgets, run of shows, contact lists, staff manuals, safety plans, and floor plans.
• Prepare onsite materials, including parking passes, credentials, and catering documents.
• Track and reconcile event expenses, receipts, and post-event settlements.
• Manage inventory and supply orders, ensuring accurate tracking and timely replenishment.
• Conduct research to support upcoming events, including design concepts, new vendors, and emerging technologies.
• Provide onsite assistance and support as assigned.
• Perform additional duties and special projects as needed.
