We are seeking an exceptionally organized and proactive Assistant to manage a ''double desk'' for two fast-paced Talent Managers. This role is a vital hub of communication, requiring an individual who can seamlessly pivot between two distinct client rosters and management styles. As the primary gatekeeper for two desks, you will handle high-volume administrative tasks while maintaining a sharp focus on the long-term career goals of a diverse group of actors, creators, and artists.
Key Responsibilities
• Dual-Desk Coordination: Manage heavy ''rolling'' phone lines and calendars for two managers.
• Uniform Workflow Management: Implement and maintain uniform filing systems and procedures to ensure consistency across both desks.
• Priority Management: Maintain a frequently updated master priority list to keep both managers informed of current projects and bandwidth.
• Submission & Casting: Talent submissions via Breakdown Express and Actors Access; coordinate audition schedules and track self-tape deadlines for both rosters.
• Client Logistics: Assist in arranging domestic and international travel, housing, and on-set details for talent. Ensure contracts and paperwork are meticulously organized and filed.
• Content & Creative: Provide script coverage, edit audition tapes, and update digital client portfolios (resumes, reels, and photos).
• Accounting: Track client bookings and ensure timely invoicing of client commissions.
Qualifications & Skills
• Experience: 1+ years of administrative experience at a talent agency, management firm, or production company is preferred but not required.
• Multi-Tasking Mastery: Proven ability to handle competing priorities and meet tight deadlines in a high-pressure environment.
• Technical Proficiency: Microsoft Office (Outlook, Excel). Knowledge of industry tools like Casting Networks and IMDbPro.
• Discretion: Ability to handle highly sensitive and confidential information with professional judgment.
• Adaptability: Capacity to learn and switch between two different managerial working styles and communication preferences.
