Search for Executive Assistant, Production & Programming jobs in North Hollywood-CA
Based in ITV's North Hollywood office (currently hybrid remote), this role will report primarily to the Senior Vice President of Production for ITV America, but will also provide light support to three other executives - the Senior Vice President of Programming, the Senior Vice President of Production, and the Vice President of Programming. This is a high profile administrative role, which requires an individual who is motivated, very organized, independent, and has the ability to be flexible with ever-changing priorities.
Key Responsibilities:
• Maintain multiple executives' calendars; including appointment scheduling across multiple time zones and offsite locations
• Support weekly departmental meetings
• Manage spreadsheets tracking production schedules
• Answer all incoming calls; at times, sit on scheduled calls taking notes; set up conference calls with multiple internal and external attendees
• Support the slate of developing and ongoing production projects, including fielding calls from production staff, networks, and vendors
• Maintain up-to-date awareness of the executive's obligations in order to proactively assist and/or anticipate needs
• Read, interpret and write email correspondence as it relates to the executive's obligations
• Respond to changes quickly and proactively alter priorities when necessary; foresee and/or manage risk, conflicts, and problem areas
• Arrange any domestic and international travel plans for executives
• Process expense reports in a timely manner
• Maintain executives' database of contacts
• Coordinate special projects, including agendas, offsite events, board meetings, conferences, and/or presentations
• Other duties or special projects as assigned
Qualifications:
• Minimum of 2 years in an administrative role, preferably supporting multiple executives in the television industry
• Experience at a talent agency and/or in non-scripted television production or programming is a strong plus
• Bachelor's degree or equivalent experience
• Self-starter with the ability to prioritize, organize, and establish administrative procedures
• Strong typing skills; MAC proficient; solid skills in Google Calendar, Mail, Docs, Sheets, and MS PowerPoint
• Excellent oral and written communication skills
• Demonstrated ability to multi-task; excellent follow-through
• Ability to handle confidential information with discretion; to exercise good judgment; and to interact professionally with high-level executives, clients, and talent
• Professionalism, punctuality, and reliability
• Understanding of and interest in non-scripted television
• Ability to work normal hours from 9am - 6pm, with some additional overtime
