The Executive Assistant is responsible for providing administrative support to executive leadership while also coordinating film and media production projects. This role requires strong organizational skills, attention to detail, and the ability to manage multiple priorities in a fast-paced, creative environment. The position involves handling executive-level administrative tasks and ensuring seamless coordination of production activities.
Responsibilities
Executive Support:
• Manage executive calendars, schedule meetings, and coordinate their travel arrangements.
• Manage clients' calendars, schedule meetings, and handle invoices for clients liaising between the company/agencies/productions.
• Managing incoming and outgoing phone calls for two executives, including keeping call sheet up to date.
• Prepare reports, presentations, and correspondence on behalf of executives.
• Organize and coordinate meetings, conference calls, and company events.
• Handle confidential information with discretion and professionalism.
• Assist with budget tracking, invoice processing, and expense reporting for executives/managers.
• Perform general office management tasks as required. Production Support:
• Coordinate with crews, talent, vendors, and production staff to facilitate smooth operations and help wrangle necessary paperwork.
• Coordinate production timelines and ensure deliverables are met on schedule.
• Preparing scripts with watermarks for going out to talent/buyers.
• Maintain production documentation and support post-production workflows. Also manage internal grids clients.
Qualifications
• Bachelor's degree in film, Media, Business Administration, or a related field preferred.
• Minimum of 3 years of experience in an executive support or film coordination role within the media/entertainment industry.
• Strong knowledge of film production processes, industry trends, and project management.
• Excellent written and verbal communication skills.
• Ability to manage multiple tasks and prioritize effectively in a deadline-driven environment.
• Proficiency in Microsoft Office Suite, Google Workspace, and project management tools.
• Familiarity with production software such as Final Draft, Movie Magic Budgeting, or Adobe Creative Suite is a plus.
• Flexibility to work evenings and weekends as required.
• Strong problem-solving skills with the ability to anticipate needs and act proactively.
Work Environment This role operates in a dynamic media production setting and requires adaptability to shifting priorities and production schedules. It involves both administrative office work and hands-on coordination of film projects.
