
Operations and Strategy Assistant

In this exciting position, the Assistant, Strategy and Operations will provide administrative support to three executives on the team, as well as get involved in special projects.
Regular, on-site attendance at the workplace for a minimum of four (4) days per week is an essential function of the position. The selected candidate must be able to reliably meet this requirement.
A SNAPSHOT OF YOUR RESPONSIBILITIES
• Answer busy phones, route and roll calls, and take messages
• Schedule and coordinate Zoom and in-person meetings using Outlook, keeping executives up to date on changes, and reminding them prior to start
• Set up conference rooms including presentations, food, and beverage, and welcome visitors as needed
• Arrange travel, create itineraries, prepare and track expense reports, and process invoices in a timely manner
• Create and distribute correspondence, order supplies, and process invoices
• Draft, edit, and proofread documents and other materials as needed, including synthesizing information from other sources
• Update and assist with PowerPoint and multimedia presentations as needed
• Assist with basic project management duties
• Other duties as needed
WHAT YOU WILL NEED
• Administrative/Internship experience supporting senior level executives in a fast-paced environment, preferably in entertainment
• Strong communication and writing skills, including a professional telephone manner and the ability to appropriately prioritize multiple, important calls
• Professional presence, good judgment, and superb attention to detail and follow-through skills
• Ability to proactively anticipate, coordinate, and follow through on the day-to-day needs of executives, including keeping them on time and on track
• Diplomatic professional with demonstrated good judgment and the ability to maintain confidentiality when dealing with sensitive issues
• Proficiency with Google Docs/Sheets/Slides, Microsoft Excel, PowerPoint, charts, and Outlook
• Self-starter who works well under pressure and can multitask without constant supervision
• Tech savvy

Salary/Benefits
$21.00 - $26.00 /hour USD
