The FOX Entertainment Business & Legal Affairs department is seeking an Assistant to join the team. Responsibilities include communications (e.g., coordinating busy phones, drafting correspondence, mail distribution), scheduling meetings and conference calls, submitting expenses, redlining documents, filing of documents and maintenance of departmental filing system, and tracking of agreements in the department's rights management system.
Regular, on-site attendance at the workplace for a minimum of four (4) days per week is an essential function of the position. The selected candidate must be able to reliably meet this requirement.
A SNAPSHOT OF YOUR RESPONSIBILITIES
• Support approximately five senior Business & Legal Affairs executives (phones, heavy scheduling, filing, expenses, etc.)
• Monitor, coordinate, and disseminate timely and confidential correspondence and information
• Organize and file documents and emails in iManage filing system
• Review agreements and input information into the deal management database, Rightsline
• Prepare documents for electronic signature
• Research backup for accurate payment of development invoices
• Help contract administrator process a high volume of invoices
• Communicate effectively and clearly between internal and external associates (other employees, vendors, agents, managers, and lawyers)
• Maintain and update internal manuals for use by the team
• Enable the most efficient functioning of departmental operations
• Provide backup assistance to all Business and Legal Affairs executives when other assistants are sick or absent
• Additional special projects, as needed
WHAT YOU WILL NEED
• Bachelor's Degree
• Previous internship/assistant experience, preferably at an entertainment industry company or law firm
• High attention to detail and strong organizational skills
• Positive attitude, reliable and willing to take initiative and mulitask
• Interest in entertainment agreements/deals and the functions of a Business & Legal Affairs department.
• Superior grammar, editing, and proofing skills
• Very computer literate, comfortable with all computing functions and applications, including but not limited to Outlook, Microsoft Office, Adobe, Slack, Zoom, iManage, Rightsline, Salesforce, etc.
• Diplomacy, reliability, and initiative, ability to work within a team, proactive, ability to handle sensitive and confidential materials in a professional manner, must be able to independently prioritize work assignments, etc.
NICE TO HAVE BUT NOT A DEALBREAKER
• Interest in a long-term career in Business & Legal Affairs or the law
• Experience with Rightsline and/or iManage computer systems
Salary/Benefits
$21.00 - $25.00 /hour USD
Final offer amount dependent on education, skills, experience, and location
