IMPLEMENTATION PROJECT SPECIALIST
DESCRIPTION
Film Musicians Secondary Markets Fund seeks an Implementation Project Specialist to join our Administration/Operations Department.
The Fund is a 501(c)(6) Non-Profit organization based in Encino, CA governed by entertainment industry-wide agreements negotiated between the American Federation of Musicians union and the Alliance of Motion Picture and Television Producers. Its mission is to collect, process and distribute residual payments to musicians, annually, resulting from their work in film, television and digital media. The organization averages a staff of 40 employees and handles approximately $100M in residual distributions each fiscal year.
The Implementation Project Specialist role will be a key member of the Operations team in supporting project coordination, systems/data management, reporting, internal process improvement, research, and problem resolution. This role will work closely across all organizational levels.
SUMMARY OF DUTIES AND RESPONSIBILITIES
• Project coordination for both software development and operational process improvement projects
• Create, update, track, and maintain documentation in support of active projects, as well as ongoing operational needs
• Key member of major software system implementation and data migration project currently underway, including:
o Meeting facilitation, project tracking activities and coordination as needed during the system design, development, testing, UAT, training, data migration, and implementation phases of the project
o Creation and maintenance of documents, including: UAT, User Training Guides, SOPs and other related materials as needed to support the project team, internal users, FMSMF leadership and all external teams
o Post-implementation support
• Serve as the NetSuite System Administrator, providing general systems support to all end users as follows:
o Create/maintain user roles and permissions
o Liaison between end users and IT to coordinate research and timely resolution of open system tickets/requests
o Facilitate the prioritization, approval, and development of appropriate system enhancements to support key operational processes or changes
o Review system data output for quality control purposes.
o Coordinate testing/validation efforts across end users and IT for all systems enhancements and quarterly NetSuite software version releases
o Provide regular systems/workflow/reporting training to both new and existing staff
o Take appropriate measures to assure adherence to standards associated with accessing, altering, retaining, and protecting organizational data
• Support the definition, documentation, and development of operations reporting and dashboards (with a focus on Key Performance Indicators)
• Develop and distribute ad hoc reporting as needed
• Acquire and actively maintain a thorough understanding of how all FMSMF operational processes and relevant systems work, as well as their impact on FMSMF's daily operations and overall mission
• Identify, document and present recommended operational process improvements, or the creation of new processes, to maximize quality and efficiency
• Work across organization to monitor implementation of new workflow/system improvements through the analysis of both quantifiable metrics, as well as qualitative feedback from impacted groups
• Conduct research or analysis as needed, and present findings to project team(s), management team(s), or staff - as appropriate
• Assist with other projects or initiatives, as needed
REQUIREMENTS
• Bachelor's Degree
• 3-5 years' experience in an Operations or Business Analyst role
• In-depth project coordination experience, including project tracking
• Experience with business process improvement techniques, as well as hands-on experience researching, evaluating, documenting, and recommending improvements to operational workflows/systems
• Experience developing clear and concise documentation in both narrative and illustrative formats (SOPs, training guides, process flows, etc.)
• Extensive experience working with NetSuite, or similar ERP system
• Experience with a business software implementation from requirements gathering through to implementation
• Exceptional analytical, critical thinking, and problem solving skills
• Strong written and verbal communication skills, including: presenting to groups, facilitating meetings and training staff
• Ability to work with minimal direction and effectively influence others
• Ability to effectively collaborate with all levels of staff and vendors, and work in a team environment
• Proficient in MS Office applications including Word, PowerPoint, Visio and advanced Excel
ABILITIES/SKILLS
• NetSuite System Administration experience and/or other relevant NetSuite certifications or training
• Experience with data cleansing, data mapping, and data migration
• Ability to write basic SQL (or similar) queries
• Experience with Agile project methodology
