Event Services Group is seeking a Specialty Talent Coordinator to assist in the operational and logistical coordination of diverse performers within ESG's Specialty Talent Department. This position is ideal for someone eager to gain hands-on experience in talent coordination, scheduling, and production management. As a key member of the team, you will support the Specialty Talent Department in booking talent, managing contracts, scheduling, and maintaining communication between talent and various departments. This role requires strong organizational skills, a passion for the entertainment industry, and the ability to manage multiple tasks in a fast-paced environment.
KEY RESPONSIBILITIES
Creative Team Collaboration
• Support cross-department communication by ensuring the timely sharing of information between creative, operational, and talent
teams.
• Help execute creative project plans by coordinating talent schedules, bookings, and event-specific requirements.
• Assist with identifying and resolving any conflicts that arise between talent and project timelines.
• Talent Coordination and Management
• Serve as a point of contact for specialty talent, ensuring clear expectations and assisting with any necessary adjustments during
event planning.
• Coordinate schedules for talent, ensuring timely arrival and performance completion.
• Track and maintain talent records, including contracts, compliance documentation, and performance evaluations.
• Assist with talent and contractor onboarding processes, ensuring they have all the necessary resources and are fully compliant with
company policies.
• Aid in solving any talent-related challenges that arise quickly and professionally.
Logistics and Scheduling
• Assist in maintaining a detailed calendar of talent availability and event schedules.
• Support the Specialty Talent Supervisor with booking talent, ensuring all requirements are met, including contract administration,
travel, accommodations, and on-site needs.
• Prepare detailed schedules and performance timelines for talent, ensuring clarity and accuracy.
• Support the Specialty Talent Supervisor with talent-related pricing, budgeting, and cost tracking.
• Help with budget tracking by organizing invoices, payments, and receipts related to talent coordination.
• Wardrobe and Props Assistance
• Provide support to the Wardrobe team by assisting in the organization, upkeep, and maintenance of wardrobe, props, and equipment
used by talent.
• Aid in the management of costume fitting schedules and provide logistical support as needed.
• Collaborate with the Wardrobe team to ensure proper organization and maintenance of costumes, props, and specialty equipment for
talent.
Documentation and Reporting
• Maintain accurate records of contracts, performance details, and other related documentation.
• Assist in creating detailed reports for leadership on talent activities, feedback, and project status.
• Support the team in tracking project timelines and budgets, ensuring all deliverables are met on time and within financial guidelines.
• Monitor feedback from events and performances to help refine talent selection and event planning strategies.
QUALIFICATIONS
• Bachelor's Degree in Event Management, Performing Arts, Entertainment, or related field; or 1-2 years of experience in talent
coordination or event production is preferred.
• Basic understanding of talent management, event production, and scheduling.
• Strong communication and organizational skills with a keen eye for detail.
• Proficiency in office software (e.g., Microsoft Office, Google Suite) and project management tools is a plus.
• Ability to multitask in a fast-paced environment and adapt to changing priorities.
• Enthusiastic, team-oriented, and willing to learn and grow within the department.
• Strong interpersonal skills, with the ability to work collaboratively with talent, internal teams, and external partners.
• Professional demeanor, with a proactive approach to problem-solving.
• Flexible working weekends and evenings as required by event schedules.
• Previous internship or experience in talent coordination, events, or entertainment production is a plus.
• Spanish-speaking skills are a plus but not required.
PHYSICAL DEMANDS & WORK ENVIRONMENT:
• Ability to lift up to 25 pounds regularly and up to 50 pounds occasionally.
• Occasional work in a dynamic, high-energy environment with exposure to weather conditions and equipment.
• Must be comfortable with working flexible hours, including evenings and weekends as necessary.
