Events Coordinator (Part-Time)
Job Summary:
At the direction of the Manager of the Gasparilla Bowl, the Clearwater Softball Invitational, and ESPN Events Basketball Invitational, the Tampa-based ESPN office is seeking a highly organized and detail-oriented individual to join our team in a part-time capacity. This role supports the operational and sponsorship functions of these events, contributing to the successful planning and execution of all. The ideal candidate will have a strong background in administrative tasks, budgeting, sponsorship support and tracking, event planning, and client communication.
Responsibilities:
Event Operations
• Assist with planning events encompassing aspects such as operations, set up and breakdown, credentials, vendor relations and volunteer oversight
• Manage and monitor event websites and AI
• Storage and apparel management, organization, and distribution
• In addition to the responsibilities listed, this role requires flexibility to adapt to evolving organizational needs, undertake tasks beyond those listed and contribute to projects as they arise ensuring the team's objectives are achieved efficiently and effectively.
Sponsorship Support
• Conduct research on potential sponsorship leads and partnership opportunities
• Assist in the creation and customization of sponsor decks and presentations
• Assist with sponsorship contracting, fulfillment, invoicing, tracking, and recaps
• Track contractual elements of sponsorship and maintain an internal fulfillment tracker
• Provide regular communication and updates to sponsors regarding deliverables and timelines
• Assist with the planning and execution of sponsor-related events, signage, and activations
• Serve as a point of contact for assigned sponsors, ensuring high-level service and responsiveness
Budget Management & Administration
• Assist in the monthly management of the event budgets
• Input, track, and reconcile expenses
• Support leadership with preparation of budget reports and documentation
Administrative Support
• Provide general administrative assistance to leadership, including scheduling, document organization, expense reports, and file management
• Support with meeting preparation, note-taking, and follow-up tasks
• Support on-site execution events as assigned
This candidate will receive hands-on experience and learn about how to execute premier collegiate events. This candidate can also grow their personal network with sponsors, vendors, local civic leaders, university administrators, and ESPN.
Required Qualifications
• Minimum 1 year of experience in a professional setting
• Self-starter with experience in athletics and/or events operations, a team player attitude, and a willingness to assist wherever necessary
• Highly organized and detail-oriented with excellent written and verbal skills
• Ability to adapt, efficiently work on multiple projects at once and work as a team under tight deadlines
• Ability to effectively perform the listed responsibilities and tasks with or without reasonable accommodation
• Proficient in Microsoft Office Suite (Word, Excel, and PowerPoint), Dropbox and SharePoint
• Valid driver's license and reliable transportation
• The ability to work extended hours including evenings, weekends, and holidays
• The ability to effectively work from home when necessary
• Candidate must be able to work:
• Basketball Event Week – November 19-28, 2026 (subject to change)
• Bowl Week – December 12-19, 2026 (subject to change)
• Softball Event Week – February 16-21, 2027 (subject to change)
Preferred Qualifications
• Minimum 2 years of experience in a sport or event related capacity including a professional team, local organizing committee, Convention & Visitors Bureau, athletic department, or other related business.
• Experience in event operations and sponsor management.
• Understanding college football, softball, basketball, and the college bowl system.
• Knowledge of ticket sales and corporate sales.
• Graphic design skills highly preferred
Required Education
• High School Diploma or equivalent
Preferred Education
• College degree from a four-year college or university
Salary/Benefits
$27.71 - $33.15 /hour USD
The base pay actually offered will take into account internal equity and may vary depending on the candidate's geographic region, job-related knowledge, skills, and experience.
