Job Title: Tour & Operations Coordinator for Classical Music Talent Agency
Location: Downtown Manhattan, New York City
Job Type: Full Time, In-Person
Purpose:
The purpose of this role is to manage the procedure of obtaining touring artists' US work visas, organizing air travel, ground transportation and accommodation, preparing itineraries and handling other miscellaneous requirements surrounding the servicing of engagements of Artists represented by Dispeker Artists.
Key Responsibilities:
• Build and maintain good relationships with a personal list of artists/clients, providing them with detailed itineraries for each engagement and providing a consistent reliable service regarding all travel, accommodations and performance related matters.
• Liaise with presenters/promoters from symphony orchestras, performing arts centers, universities, festivals to volunteer based music associations to ensure that all the details (times, venues etc.) are correct, arranging all artistic support (rehearsal space, page turners, piano tuning, sound check, merchandise sales and similar), and maintaining positive day-to-day contact with the Artists.
• Create program pages for artist recitals with appropriate notations and approve Presenters' final program pages.
• Record all financial information (contracted fees, travel reimbursements, merchandise sales, etc) for each engagement accurately, and process invoices and other financial documents in conjunction with the accounts department.
• Produce engagement contracts and performance fee/travel reimbursement invoices. Liaise with Artists and accountants regarding tax documents, statement questions and ensuring that any fees to be received directly by the Artist have been paid.
• Assess and edit all contracts and other documents pertaining to each engagement, and process them in conjunction with the Artist Manager.
• Occasional weekend or evening work, either related to concert attendance or due to emergencies.
• Provide immigration and visa services for clients, preparing and submitting necessary forms and applications.
• Collaborate with other colleagues in the company, working to provide excellence in service.
• Assist with ad-hoc project work and carry out any other duties relevant to the post as directed.

• The ability to communicate clearly both in person and in writing.
• The ability to remain calm and efficient under pressure.
• Experience in booking international and domestic air travel, rental car, and hotel accommodations.
• Experience preparing and filing artist visas and work permits.
• Ability to work with a variety of artists and artistic temperaments.
• Practical experience of keeping methodical systems and orderly records and files and looking for opportunities to improve processes.
• High level computer literacy (Microsoft Word, Excel, Outlook) and ability to learn new systems.
Desirable Criteria:
• Languages, written and verbal, in addition to English are highly desirable.
• Background or strong interests in classical music/performing arts.

Dispeker Artists International Inc. has been a leading classical music artist management firm since 1947. The firm was founded by the late Thea Dispeker who represented some of the most notable names in classical music, including Richard Tucker, Martina Arroyo, Judith Blegen, Roberta Peters, Jan Peerce, Hermann Prey, Pablo Casals and Wieland Wagner among many others. In 1950, she organized the first Pablo Casals Festival in the tiny village Prades, France, where Casals was living in exile from Spain. In 1997 the International Society for Performing Arts Foundation gave her an award of merit timed to the 50th Anniversary of her agency. Ms. Dispeker retired in 1998, but the firm has continuing to preserve her dedication to promoting emerging vocalists and musicians.
