Administrative Assistant
Executive and Contracts Department
Based in Los Angeles, CA
Position Overview:
We are seeking a highly organized, proactive, and resourceful individual to provide high-level administrative support to our senior executives in the Executive and Contracts department. This role requires strong communication skills, discretion, and the ability to manage multiple priorities in a fast-paced environment. The ideal candidate is a strategic thinker, problem-solver, and trusted partner who thrives in a dynamic and high-performance culture. This role will ensure and support smooth operations of the department while also assisting various other executives in their day-to-day operations. This position is on-site only.
Essential Duties & Responsibilities:
• Assist various executives in their respective day-to-day operations.
• Provide desk coverage and administrative support for other executives as needed.
• Manage and maintain the executive's calendar, including scheduling meetings, appointments, and travel.
• Prepare and edit correspondence, reports, presentations, and other documents.
• Act as a liaison between the executive(s) and internal/external stakeholders.
• Assist with the planning and execution of meetings.
• Track and help drive completion of key deliverables and follow up on outstanding items.
• Handle confidential information with integrity and discretion.
• Perform administrative duties such as expense reports, filing, and data entry.
• Anticipate executive needs and proactively solve problems before they arise.
• Support special projects and initiatives as assigned.
• Periodic overtime and evening work required on site.
Minimum Qualifications:
• Previous administrative support experience.
• Excellent written and verbal communication skills.
• Exceptional organizational skills and attention to detail.
• Ability to interact in a friendly, professional manner with executive management, high-profile membership, and elected officials and their staff.
• Demonstrated ability to exercise independent judgment, take initiative, be resourceful, and make sound decisions.
• Ability to maintain a reliable and predictable work schedule, including working overtime and evenings as needed.
• Excellent interpersonal skills to develop and maintain collaborative working relationships.
• Proficiency in Microsoft Office Suite (e.g. Outlook, Excel, Word, PowerPoint), and virtual meeting platforms (Zoom, Teams).
• High degree of flexibility, adaptability, and resilience.
• Access to reliable transportation is required.
Preferred Qualifications:
• Experience in entertainment industry.
• Experience in labor unions.
• Customer service experience is a plus.
