Amblin is seeking a highly organized, proactive, and detail-oriented Second Assistant to support the First Assistant to a Principal based in our Tribeca office. This role reports directly to the First Assistant and is essential to providing administrative support to the team and ensuring the seamless coordination of professional logistics.
The ideal candidate is a resourceful, solutions-oriented professional who thrives in a fast-paced, high-demand environment. This individual demonstrates sound judgment, anticipates needs before they arise, and approaches every task—large or small—with a strong sense of ownership and accountability. Familiarity with New York City is highly valued, including an understanding of logistics, travel timing, and local resources.
Key Responsibilities include, but are not limited to:
• Provide administrative support to the executive office, including transcribing notes, managing and prioritizing incoming mail, and maintaining accurate, real-time tracking of requests and follow-ups on behalf of the First Assistant and/or the Principal
• Maintain and update detailed calendar events with accuracy and in real time
• Draft daily schedules and coordinate movements for the executive and security team
• Manage complex domestic and international travel logistics
• Draft, track, and manage ongoing correspondence
• Prepare meeting spaces, ensure materials are organized, and capture notes when appropriate
• Coordinate with internal teams and external partners to gather logistics, arrival details, and attendee information
• Arrange security access and drive-on permissions for in-person meetings
• Provide direct support to the First Assistant across scheduling, communications, and priority management
• Assist with coordination of family-related scheduling and communications, as needed
• Coordinate logistics such as meals, supply runs, and deliveries
• Collaborate across the executive office to support larger initiatives and projects
• Execute special projects and additional responsibilities as assigned
Qualifications:
• 2–3 years of full-time experience supporting an executive within the film or entertainment industry
• Proven ability to multitask effectively in a fast-paced, high-pressure environment
• Exceptional organizational skills with strong attention to detail
• Ability to work independently while communicating appropriate updates
• High level of professionalism and discretion when handling sensitive or confidential information
• Flexibility to work extended hours, including evenings and weekends, as needed
• Knowledge of New York City logistics, geography, and vendors
