The Production Coordinator supports the production team in planning, organizing, and executing commercial and music video projects from pre-production through wrap. Working closely with Producers, Production Managers, accounting department, and crew, the Production Coordinator helps keep projects running smoothly by managing schedules, logistics, documentation, and day-to-day production needs.
Responsibilities:
* Support Producers and Production Managers through all phases of production, including prep, shoot, and wrap.
* Assist with creating and maintaining production schedules, call sheets, crew lists, contact sheets, and production documents.
* Coordinate logistics including crew communications, travel, accommodations, equipment rentals, location details, and production supplies.
* Assist with crew hiring, onboarding paperwork, deal memos, and maintaining production records.
* Help manage production budgets by tracking expenses, collecting invoices, processing purchase orders, and organizing receipts.
* Coordinate with vendors, freelancers, talent, agencies, and internal teams to ensure clear communication and timely execution.
* Assist with location scouting, permits, insurance requirements, and production paperwork.
* Support shoot-day operations, including distributing production materials, managing communications, and troubleshooting logistical needs.
* Maintain organized production files and archives across internal systems.
* Contribute to improving production workflows, templates, and processes.
Qualifications:
* 1-3 years of experience in production, preferably within commercials, music videos, branded content, film, or television.
* Strong organizational skills with the ability to manage multiple projects and priorities in a fast-paced environment.
* Excellent written and verbal communication skills.
* Strong attention to detail and ability to anticipate production needs.
* Ability to collaborate effectively with creatives, clients, crew, and vendors.
* Proficiency with Google Workspace and Microsoft Office
* Knowledge of production workflows, terminology, and industry practices.
* Ability to remain calm, resourceful, and solutions-oriented under tight deadlines.
Preferred Qualifications:
* Experience supporting commercial or music video productions from prep through wrap.
* Experience working with talent, agencies, brands, and creative partners.
* Interest in growing within the production industry and taking on increasing responsibility.
