SUMMARY DESCRIPTION
The Office Manager is responsible for managing the day-to-day operations of the offices by performing a
variety of operational, administrative, facilities and logistical tasks. This position oversees all office
management functions, such as building maintenance, catering, janitorial, office supplies and related functions.
Further, this position requires the use of discretion in securing multiple bids for outside vendors, making
recommendations to management about efficient running of the office, coordinating maintenance and repairs
with third party suppliers, and the handling of all physical office facilities.
ROLES AND RESPONSIBILITIES
• Liaise with building management on matters of security and maintenance
o Includes operation of cameras
• Responsible for the facility's day-to-day operational needs to ensure smooth functioning of the office
o Includes maintenance/repair of any broken doors, equipment, etc.
o Coordination of cleaning crews
o Maintain supplies, equipment, and facilities
• Handle security and parking access, including adequate number of parking passes
• Maintain various office apps (e.g., SwipedOn, OpenPath)
• Manage office guests including their access to suite
• Maintain various administrative reports and databases such as maps
• Advise staff on Emergency Preparedness and Evacuation Procedures
• Oversee all mailroom processes
• Sort and distribute all incoming mail
• Send and track all outgoing packages
• Track and restock office supply inventory
• Prepare requested script printing, photocopies, scans, and presentations
• Maintain access to company's central files
• Maintain (and ensure adequate supplies) for printers, faxes, and copy machines as needed
• Deliver packages to Chairman's residence
• Manage laptop inventory
• Provide in-office technology support
• Maintain inventory and access of offsite storage locations
• Take on additional tasks and responsibilities as assigned
QUALIFICATIONS AND REQUIREMENTS
• Work requires excellent attention to detail, ability to prioritize and meet deadlines
• Must have a high level of interpersonal skills to handle varied personalities and sensitive situations
• Position requires demonstrated poise, tact and confidentiality
• Computer literacy is a must
