Executive Assistant to the President

We are seeking a discrete, top-tier Executive Assistant to serve as the right hand to our high-profile President. You'll operate at the intersection of executive support, operations, and publicity.
In this role, you’ll function as an extension of the President and create the structure that enables them to operate at their highest level. You'll seamlessly balance executive support with content and publicity coordination, special projects, and day-to-day operational execution.
The ideal candidate for this role is a true chameleon, because no two days will look the same. You must not only thrive in the high-energy, fast-paced environment of on-site productions and location shoots, but also be equally comfortable shifting into a highly autonomous, remote setting where you manage your own workflow under a hands-off leadership approach. You anticipate needs before they arise, adapt quickly to changing priorities, and bring a problem-solving mindset to every challenge while remaining calm under pressure.
What you'll do:
Executive & Administrative Support
• Manage the President’s calendar, inbox and scheduling in a way that protects the President’s time and priorities and ensures smooth daily operations
• Implement workflows, documentation practices, and meeting structures that improve communication and efficiency across departments in relation to the President
• Prepare presentations, documents, and research for media opportunities and client meetings on behalf of the President
• Communicate with high-profile clients and VIPs as an extension of the President and in a timely manner
• Manage and research special projects and take on additional assignments as needed
• Capture meeting notes on behalf of the President and synthesize key takeaways and action items for stakeholders
• Track key deliverables, deadlines, and follow-ups for the President, ensuring preparation, materials, and actions items are completed on time
Publicity Coordination
• Serve as the primary point of contact for all media requests, speaking engagements, and public appearances
• Manage logistics for all publicity-related events on behalf of the President
• Establish systems for managing press opportunities and tracking media appearances
• Arrange talent glam services, including makeup, styling, and travel coordination for the President, ensuring all logistical and contractual requirements are met
• Coordinate contract requests with outside vendors and handle payments; manage invoices and billing inquiries from vendors alongside the Operations Department to ensure that all finances are tracked
• Assist in drafting, editing, and reviewing talking points, social media copy, and other materials to ensure alignment with the President’s voice.
Event and On-Set Support
• Handle the President on-site at red carpets, press junkets, interviews, photoshoots, speaking engagements, and various other publicity events
• Ensure seamless logistics, provide on-set support and capture BTS content for social media
• Attend industry and company events alongside the President to provide logistical support, professionally network, and capture content for social media
• Maintain flexibility to support events and publicity initiatives during evenings and weekends
Who we're looking for:
• Bachelor's degree, preferably in Public Relations, Communications, or a related field
• 4+ years of experience supporting an executive or public figure, with a proven track record in PR, talent management, or media relations
• Deep understanding of the media ecosystem (including podcasts, streaming, and social platforms) and experience maintaining relationships with media professionals
• A knowledge of all social platforms with an emphasis on Instagram, TikTok, and Threads
• Exceptional judgment and confidentiality regarding both sensitive business operations and the President’s public-facing persona
• Exceptional written communication skills and the ability to draft clear, concise materials
• Ability to research topics quickly and synthesize information into useful insights
• Excellent interpersonal skills and emotional intelligence; comfortable working directly with leadership, high-profile stakeholders and media contacts
• Highly organized and capable of managing multiple moving priorities without dropping details
• Strong proficiency with Google Workspace, Slack, Airtable, Excel, and similar productivity tools
• Demonstrated ability to transition seamlessly between highly collaborative, fast-paced on-location work and independent, remote work
• Interest in pop culture and media trends
Preference for candidates with:
• Basic graphic design experience (Canva, Adobe Express, etc.);
• Basic knowledge of traditional astrology
Location:
• New York City (travel may occasionally be required)
Details:

Salary/Benefits
• $95K salary (plus $10k in additional, annual stipends for a total of $105k)*
