JOB TITLE: Personal Assistant to CEO of Multimedia Company
DESCRIPTION:
Multimedia production company is seeking a reliable and detail-oriented Personal Assistant with strong judgment skills to support the office of its CEO/Founder. The role will be split between the company's HQ in Los Angeles, CA and the principal's home in Beverly Hills; driver's license is required. The Personal Assistant will work hand-in-hand with the Executive Assistant to ensure the CEO's life can run smoothly. Job Responsibilities are listed below:
RESPONSIBILITIES:
Personal Admin:
• Run weekly to-do list with the CEO and proactively help him accomplish tasks.
• Drive CEO to meetings and production shoots as needed, supporting the CEO on the ground with day-to-day needs.
• Schedule and track reservations and personal appointments, coordinating with EA on schedule.
• Run personal errands for the CEO as needed.
• Daily coffee/lunch orders for the CEO.
• Manage social invitations, RSVPs, and guest lists for CEO and his wife.
• Support CEO's wife with the above as needed.
House Management:
• Update house manual monthly.
• Keep inventory of items in the house, including restocking supplies as needed.
• Coordinate hiring and termination of house vendors.
• Own and maintain calendar for house appointments and recurring vendor schedule for residence.
• Oversee vendors and manage set-up for house events — spanning dinners, parties, etc.
Gifting:
• Order and track gifts for business partners as indicated by the CEO; coordinate with other assistants on the company's holiday gift list and deliveries.
• Gift pick-ups and deliveries as needed.
Travel:
• Book personal travel, transport and accommodations for CEO while maintaining organized itineraries.
Expenses:
• Reconciliation of personal expenses.
• Own and maintain expense sheet for principals for
SCHEDULE:
Monday – Friday, standard hours with flexibility after hours and on weekends as needed
Salary range: $70-80K ( this is an hourly position with paid overtime)
