Your Role Accountabilities…
• Manage and maintain executives' schedules, including calendar management, meeting coordination, and travel arrangements.
• Prepare and edit correspondence, communications, presentations, and other documents for executive review.
• Handle confidential information with discretion, ensuring data security and privacy.
• Serve as a primary point of contact between executives, employees, on-air talent and external stakeholders, facilitating clear and timely communication.
• Screen and direct incoming calls, emails, and other correspondence on behalf of executives.
• Coordinate and organize meetings, including booking rooms, preparing agendas, and following up on action items.
• May assist visiting executives and talent with on-site requests and other short turnaround needs including workspace requests, conference room setup, catering, bureau tours and general administrative help with basic technical support.
• Support special projects by coordinating resources, gathering data, and ensuring timely completion.
• Conduct political research, prepare summaries and presentations, ensuring accuracy and alignment with executive goals.
• Coordinate complex travel arrangements, including flights, car service, accommodations, and itineraries, ensuring smooth and efficient travel.
• Organize and facilitate events, conferences, and team gatherings, handling logistics and vendor communications.
• Maintain organized filing systems (physical and electronic) for documents, reports, and records.
• Ensure documents are accessible, up-to-date, and aligned with organizational standards.
• Track and manage executive expenses, ensuring adherence to budget and expense policies.
• Prepare and submit expense reports, keeping accurate records and receipts for reimbursement.
Qualifications & Experience…
• Bachelor's degree in Business Administration, Communications, or a related field (preferred but not required).
• Proven experience (typically 5+ years) as an executive assistant, office manager, or similar high-level administrative role.
• Must be comfortable in a busy newsroom environment with frequent disruptions.
• You should be extremely organized and work efficiently, with a high level of attention to detail.
• Excellent verbal and written communication skills, with a professional and courteous demeanor.
• Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and experience with virtual collaboration tools.
• Ability to handle sensitive information with discretion, diplomacy, and maintain confidentiality.
• Strong problem-solving skills and the ability to work both independently and as part of a team.
• Flexibility to adapt to changing priorities and work in a 24/7 fast-paced environment.
• Role requires consistent start times, some flexible evenings and occasional weekend work with overtime.
• Must be willing to be on-call off hours, reachable by mobile phone
Salary/Benefits
