Job Description
The Role
The Group Assistant for Finance supports the Finance & Operations team by working closely with management to help ensure departmental processes run smoothly and efficiently. This role is ideal for someone with a general interest in business operations, finance/accounting, and sports and entertainment marketing, and who is eager to grow within a dynamic, fast-paced environment.
Responsibilities
• Provide administrative support, including data entry, meeting and schedule coordination, preparing expense reports, drafting correspondence, booking and coordinating travel, and assisting with special projects as needed.
• Attend team meetings, prepare agendas, take detailed notes, and distribute meeting summaries.
• Collaborate cross-departmentally across all agency verticals while maintaining a high level of confidentiality.
• Update financial spreadsheets and systems with daily transactions and relevant account activity.
• Maintain and regularly update finance- and process-related documentation.
• Record and track monthly Aging Report updates.
• Manage weekly FedEx invoices and coordinate timely payments.
• Oversee departmental subscriptions and manage approved renewals.
• Provide support for financial planning, forecasting, and projections.
• If LA-based, assist with facility-related responsibilities as required.
• Contribute to the development and implementation of systems and processes that improve efficiency and productivity.
Qualifications
• BA/BS from an accredited college or university required.
• 1-2 years experience and demonstrated interest in project management, finance/accounting, business operations, policies, and process improvement.
• A high level of accuracy and meticulous attention to detail; these are essential to success in this role.
• Highly adaptable with the ability to manage multiple tasks, prioritize effectively, and meet strict deadlines in a fast-paced environment.
• Strong organizational, verbal, and written communication skills.
• Proficiency in Microsoft Office (Word, Excel, Outlook); advanced Excel skills are a plus.
• Collaborative team player with the ability to work effectively across departments and within a demanding environment.
• Creative and analytical thinker with curiosity about technology, digital solutions, and industry trends.
