Currently seeking an assistant to support our executive office. Must be comfortable in a fast-paced environment and take ownership of tasks. Professional demeanor and ability to maintain the highest level of confidentiality required.
Candidates must have a minimum of 2 years onsite full time (internships don't count) industry experience at a production company, studio, agency or on film productions, supporting a high-level creative executive. A candidate will have the opportunity to further develop the key skills of working in a production or studio office environment, such as but not limited to rapid information processing, effective time and task management, professional communication with internal and external stakeholders, and creative problem-solving.
Job duties include but will not be limited to:
• Coordinating and communicating closely with the LA-based executive team on both long- and short-term tasks and projects.
• Working daily in conjunction with executive house team and providing updates on scheduled events and daily movements.
• Organization of materials and coordinating logistics related to creative projects in various stages of development.
• Prioritizing requests, questions, and understanding the flow of a workday.
• Connecting and forwarding calls upon request and maintaining professional phone etiquette.
• Notetaking, transcribing and drafting/editing of various texts.
• Greeting and providing hospitality to office guests. Serving as a point of contact to high-profile talent and partners while ensuring that standards are always upheld with an emphasis on practicing professional discretion.
• Having basic knowledge of Apple products and a basic comfort with software including Mac OS, Zoom, Microsoft Office, Box, and technology-related tasks including connecting a computer to a TV via HDMI and running presentations.
• Providing additional in-person office support to other personnel as needed.
Typical work hours will be 9:00 a.m. - 7:00 p.m. but may vary. Additional hours and weekend work will be required as needed.
Recent college graduates will not be considered. Candidates must meet the minimum requirements as stated above.
Additional Comments: Position will be located on site at the office five days a week in person.
