Overview
Seeking a reliable, punctual, smart, and personable individual to be a temp assistant to the top-level executive at an entertainment company involved in artist management and VIP event production.
Core Duties
• Answering phone calls
• Scheduling meetings
• Making travel arrangements
• Processing and filing paperwork
• Ordering supplies
• Handling incoming and outgoing mail
• Keeping records
• Updating company social media sites and websites
• Working with talent (arranging castings, submitting talent to breakdowns, coordinating auditions with actors and casting directors, etc.)
• Running personal errands (includes making/buying coffee, occasional grocery shopping, etc.)
Required Qualifications
• Experience of work in similar administrative position
• Excellent verbal and written English
• Excellent computer skills (Mac proficient)
• Deep knowledge of Microsoft Office (especially Word, Excel, PowerPoint), Apple (Mail, Contacts, Calendar), Google Apps (Google Docs, Spreadsheets, Calendar), Adobe Acrobat
• Good knowledge and experience of working with office equipment and hardware, as well as trouble shooting
• Must have reliable transportation and a valid driver's license
Preferred Qualifications (not required)
• Experience in music/entertainment industry
• Knowledge of Adobe Creative Cloud applications (Photoshop, Illustrator); experience in creating simple graphics
• Familiarity with basic HTML and WordPress
• Social media management, experience in creating and running ad campaigns
• Basic knowledge of accounting
• Experience in using video editing tools (iMovie, Final Cut)
Personal Skills
• Attention to detail and high level of accuracy
• ''Can do'' attitude
• Work in a fast-paced environment
• Planning and organization skills
• Excellent communication skills
• Adaptability
• Teamwork and collaboration
