Administrative Assistant - Temporary

Artist Relations (AR) is a highly sought-after group, and our work integrates many aspects of the corporation at large, as well as nearly every stage of a musician's career. Our AR team in Franklin, TN is looking to partner with a detail-oriented, passionate, and rock star Administrative Assistant to provide exceptional support to the Artist Relations Operations team. This position is a temporary position and length of assignment is contingent upon business needs.
Here's what you'll do:
Provide high-level administrative support by managing schedules, conducting research, preparing reports, and performing clerical functions such as preparing correspondence, receiving visitors, arranging conference calls and scheduling meetings.
Assist with various office duties as requires
Regularly update and, if necessary, design filing systems and ensure that the systems are always up to date. Ensure proper procedures are in place for maintaining records
Drafting letters and documents upon request
Assist VP/Chief Artist Relations Executive in various administrative tasks such as appointment scheduling, etc.
Maintains artist/client confidence and protects Yamaha by keeping all information confidential. Maintain ongoing accuracy, security and sustain integrity of all of Artist Relations Group's contact, informational databases and physical files
Maintains office supply inventory by checking stock to determine inventory level; anticipating needed supplies; evaluating new office products; placing and expediting orders for supplies; verifying receipt of supplies
Assist in events as required
Project scheduling to meet changing priorities and assist in back-line orders that come through last minute
Prepare expense reports and travel arrangements
Perform other duties as assigned
Here's what you'll bring to the table:
College degree in business, communications or related field plus five years proven administrative support experience for an executive.
Strong background in record label operations and customer service Excellent customer service skills.
Flexibility in project scheduling to meet changing priorities required.
Highly proficient in File Maker Pro and Microsoft Office (Word, Excel, PowerPoint).
Experience interfacing with many different vendors
Extremely detailed oriented, analytically minded, enthusiastic, punctual and motivated
Excellent verbal/written communication skills
Team player, ability to work well with others and able to work independently.
Must have a friendly nature and the ability to build rapport quickly with others.
Must have a high sense of urgency and ability to manage and prioritize one's work schedule
Strong organizational skills and must be extremely detail oriented.
Up to 10% travel required to assist with shows, events, etc.
