Position Overview: WWE is looking for a highly organized and proactive Production Operations Coordinator to support our Production Management & Business Operations team. In this role, you will provide essential logistical and administrative support across a range of WWE Media projects, including internally and externally produced content. As a central point of coordination, you will work cross-functionally with production managers, creative producers, and various internal teams to ensure the smooth execution of production workflows and day-to- day operations. The ideal candidate will have experience working in a fast-paced, high-volume television or media production environment and be passionate about keeping things organized, moving, and efficient behind the scenes.
Key Responsibilities:
Production Logistics & On-Site Support
• Coordinate shoots with creative producers: hire freelance crew, request talent, book travel, reserve locations/interview spaces, and generate call sheets and schedules.
• Provide on-site support for studio shoots, field productions, and PLEs (e.g., setup craft services and catering, manage interview grids, hotel room blocks, and event credentials).
Financial Administration & Tracking
• Submit, track, and file production invoices via OnBase platform; draft invoice requests and follow up on payment status.
• Reconcile and process monthly purchasing card (p-card) expenses.
• Submit and track talent payments via Talent Management System or Talent Payment Request Forms; create payment schedules aligned with contracts and production calendars.
Contract & Vendor Management
• Track execution of talent and vendor agreements and ensure alignment with payment timelines.
• File and maintain executed contracts, permits, COIs, and production documents.
• Onboard new vendors and track COIs for crew, vendors, and locations.
Documentation & Organization
• Maintain and archive physical and digital production files (e.g., agreements, call sheets, releases, deliverables).
• Upload and organize production assets and paperwork on shared platforms like Box.
• Create tracking systems to ensure accessibility and compliance across projects.
Team & Administrative Support
• Coordinate day passes and provide scheduling support for executives or guests.
• Provide back-up administrative support to Production Management & Business Operations leaders.
• Collaborate with Business and Legal Affairs, Rights & Clearances, and Risk Management to route paperwork and track approvals/signatures.
Qualifications:
• 2–4 years of experience in production operations or production coordination within television, streaming, or media
• Strong working knowledge of production logistics and workflows
• Excellent communication and organizational skills
• Proficiency in Microsoft Excel, Google Workspace, and file management systems (Box, etc.)
• Ability to manage multiple tasks simultaneously while maintaining strong attention to detail
• Willingness to be on-site in Stamford, CT and occasionally travel for shoots, if needed
• Ability to maintain confidentiality and handle sensitive information with discretion
