Full Time Job
Key Responsibilities:
The ideal candidate will be a highly trustworthy, loyal, committed, hard-working professional, who is team-oriented and understands how the media, entertainment and sports industries operate.
• Provide administrative support to the Chief Marketing & Communications Officer, including but not limited to handling phones, scheduling, office aesthetics, filing/e-filing, email correspondence and office supplies
• Handle day-to-day office management with poise and professionalism, and create efficiencies in a high-pressure, fast-paced executive office
• Serve as liaison and share information with key departments under management and across business units
• Review daily/weekly meeting notes and keep track of to-do lists/follow-ups, and create timelines and status updates for long-term projects
• Track progress against daily, weekly, monthly and annual goals/objectives
• Prepare agendas and materials for meetings; executive briefs; travel itineraries
• Coordinate with internal departments to prepare for presentations/meetings
• Liaise with key administrative staff, office managers and operations staff across business units forging key working relationships.
• Book end-to-end travel arrangements for the Chief Marketing & Communications Officer and be on-call to ensure completion of individual trips; maintain and track travel preferences
• Prepare, reconcile, submit and check Chief Marketing & Communications Officer expense reports. Review all key department and individual expenses for compliance
• Maintain up-to-date information for Chief Marketing & Communications Officer contacts; maintain staff contact lists
• Oversee compilation of weekly department status reports and create comprehensive summary documents
• Organize department on-site logistics and attend tentpole events
• Plan and organize department-wide meetings and events
• Ability to complete daily tasks with little to no direction
• Interact with colleagues and visitors in a timely and courteous manner
• Stay up to date on WWE programs, characters, storylines, products, events, business results and engagement metrics
• Ad hoc projects and other duties as required
Qualifications:
• 7-10 years of experience in an administrative role in a corporate environment working directly with senior-level executives
• Able to work a minimum of 9:00 AM to 6:00 PM, plus off-hours as needed
• Strong skills in MS Outlook, Word, Excel and PowerPoint
• Experience managing budgets is a plus
• Project management experience is a plus
• Responsible, reliable, honest and trustworthy, with a history of working with confidential information
• Excellent interpersonal, organizational and verbal/written communications skills
• Strong sense of tact
• Able to interact well with employees and business partners of all levels and backgrounds
• Self-motivated, proactive and able to work both independently and collaboratively using good business judgement and common sense
• Comfortable working with and maintaining various forms of technology and electronic equipment
• Can-do positive attitude and demeanor, ability to be flexible with work hours and range of responsibilities in a dynamic, fast-paced, heavy work-load environment
• Critical thinker, passionate professional
• Willingness to ''roll-up sleeves''
• Detail-oriented and ability to multi-task
• Bachelor's degree preferred
